The Facility Coordinator is responsible for managing the day‑to‑day operations of office administration and facility management. This role requires strong organizational skills, proactivity, and the ability to multitask effectively in providing administrative support and overseeing facility operations. Key responsibilities include optimizing office administration processes, addressing administrative needs, managing vendor relationships, and ensuring compliance with safety, health, and secretarial services.

Main Responsibilities
Office Administration & Facility Management
  • Responsible for DBS Asia & SDC-KL administrative matters and ensuring a conducive working environment.
  • Maintaining office policies & procedures, updating as necessary to optimize workflow and productivity.
  • As the focal contact point with facility management vendor, contractors and building management to address facility related issues promptly and efficiently.
  • Oversee general office administration tasks, including procurement and management of office and pantry supplies, maintenance of office equipment and fixed assets and invoices processing.
  • Liaise with local authorities for licenses, permits, applications, and bill matters.
  • Monitor facility and office administration budgets and expenses, ensuring cost‑effective solutions without compromising quality.
  • Coordinate logistical support such as business travel, hotel, appointments and conferences and travel reservations.
  • Promote and continuously reinforce local and Global safety and health guidelines as outlined by DBS APAC Safety & Health Committee.
  • Maintain office security by following safety procedures and controlling access via the reception desk.
  • Perform any additional tasks or job functions as deemed fit by the Line Manager.
  • Responsible for DBS Asia & SDC-KL Purchase Requisition generation, vendor registration and goods receive / delivery order notes.
  • Coordinate overall facility services and monitor contract performance to ensure compliance with service level agreement.
Centralized Secretarial Support
  • Provide comprehensive administrative support to Directors, including calendar management, meeting coordination and travel arrangements.
  • Handle confidential information with discretion and professionalism, ensuring strict confidentiality of organizational matters and sensitive data.
  • Act as a liaison between Directors and internal/external stakeholders, ensuring clear communication and timely follow‑up on action items.
