Executive - Student Administration & Services (SAS)

Raffles College of Higher Education – Kuala Lumpur, Kuala Lumpur

Undertake the essential administration of Student Affairs & Services (SAS) and provide full support to the SAS Manager.

Provide and deliver administrative and customer service support to parents and students throughout their duration of studies.

Handle students’ and parents’ enquiries and feedback (walk-in, call-in, email) related to academic and student affairs matters, and maintain harmonious relationships with students and parents.

Monitor, prepare, and submit documentation for Student Visa Renewal, Insurance Policy Renewal for International Students, and Student Visa Cancellation/Shorten for existing international students to Education Malaysia Global Services (EMGS).

Prepare timetable allocations for lecturers and students, and upload timetables according to the programmes offered.

Prepare and seek approval from the SAS Manager for each intake’s teaching hours report of all lecturers based on matrix planning provided by Programme Directors / Programme Coordinators.

Assist parents with EPF withdrawal procedures and preparation of documentation for payment of students’ course fees.

Provide information and prepare documentation for PTPTN loans to students and parents.
Collect cash and cheques from students for tuition fees, retake modules, and other related payments.

Issue invoices, credit notes, and late payment notices; monitor payments and promptly remind students when payments are due.

Create retake fee invoices and follow up on payment and retake module forms.

Oversee the Library as and when required.

Assist with compliance preparation of Student Files for audit purposes.

Coordinate and manage examination preparations, including printing and distribution of examination papers.

Update the Master Timetable and assist with booking replacement classes for lecturers and studios for students.

Print, scan, file, and distribute student certificates.

Assist with student Add/Drop course processes.

Update Student Files, including scanning all visa renewals into the PLUTO system and maintaining international student files.

Carry out any additional duties, responsibilities, or projects as may be reasonably assigned by Management from time to time in line with operational needs.

Requirements
  • Minimum Diploma or Bachelor’s Degree in Business Administration, Education, Management, or related field.
  • At least 1–2 years of working experience in a Private Higher Education Institution is mandatory.
  • Familiar with student administration processes, academic operations, and compliance requirements in private colleges / universities.
  • Experience handling student records, timetabling, examinations, visas (EMGS), PTPTN, and student services will be a strong advantage.
  • Good knowledge of Education Malaysia Global Services (EMGS) processes, international student documentation, and visa renewals.
  • Experience using student management systems (e.g. PLUTO, ERP, or similar) is preferred.
  • Strong administrative, organisational, and multitasking skills with attention to detail.
  • Good communication and interpersonal skills to deal professionally with students, parents, lecturers, and internal stakeholders.
  • Able to work under pressure, meet deadlines, and handle sensitive information with confidentiality.
  • Proficient in Microsoft Office (Word, Excel, PowerPoint) and email correspondence.
