We are seeking a detail-oriented and organized Document Control Administrator to join our Greenfield, Semiconductor equipment manufacturing facility in Johor, Malaysia where you will be responsible for managing and maintaining all controlled documents related to our Manufacturing and Engineering processes, ensuring compliance with industry standards, and supporting continuous improvement initiatives.

In this pivotal role, you’ll take charge of managing and streamlining our controlled documents, driving compliance with industry standards, and playing a key role in our continuous improvement journey. Work Location: Onsite - Johor Bahru

Temporary Location: Tanjung Pelepas, Gelang Patah

Permanent Location: Pasir Gudang (Moving in Q3)

Key Responsibilities:

  • Document Management: Create, review, and maintain controlled documents, including Standard Operating Procedures (SOPs), work instructions, technical manuals, and quality standards.
  • Version Control: Ensure the latest versions of documents are accessible to relevant stakeholders and maintain a history of document revisions and changes.
  • Compliance: Ensure all documentation meets internal and external regulatory requirements, such as ISO standards and semiconductor industry-specific guidelines.
  • Document Distribution: Coordinate the distribution and retrieval of documents to and from various departments, ensuring timely access to up-to-date information.
  • Audit Support: Assist in internal and external audits by providing the necessary documents and ensuring document control processes meet auditor requirements.
  • Change Management: Manage the change control process for documentation, ensuring that all changes are reviewed, approved, and communicated effectively.
  • Database Management: Maintain and update the electronic document management system, ensuring data integrity and easy retrieval of records.
  • Training Support: Facilitate training sessions by providing accurate and up-to-date documents to support the learning process.
  • Collaboration: Work closely with engineering, quality, production, and other teams to ensure that document control aligns with operational and business objectives.
  • Any other duties assigned.

Qualifications & Competencies:

  • Degree or Diploma in any field with at least 3-5 years of experience in document control, preferably in a Semiconductor or High-Tech manufacturing environment.
  • Strong experience in managing overall documentation control for ISO 9001 using software such as SAP, Oracle, or Agile.
  • Qualification as an Internal Auditor or equivalent training for ISO 9001:2015, with experience in assisting and supporting internal and external audits.
  • Solid knowledge and experience in creating, reviewing, and maintaining controlled documents (ISO 9001 documents) in the Semiconductor or EMS industry.
  • Strong understanding and relevant experience in managing change management, version control, compliance, and document distribution within the context of ISO 9001 in the semiconductor or EMS industry.
  • Familiarity with document control software and systems (e.g., SharePoint, SAP, or similar platforms) is an advantage.
  • Strong attention to detail and organizational skills.
  • Excellent communication and collaboration abilities.
  • Excellent writing skills.
  • Ability to work independently and manage multiple tasks efficiently.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint)
  • Understanding of Quality Management Systems (QMS) and best practices.
