Role Overview

Creative Project Coordinator to manage the day-to-day project pipeline, coordinate between clients, internal creative teams, and external partners, and ensure projects are delivered on time, on brief, and on site. This role sits at the center of production management, client communication, and on-ground execution. You will not just sit in the office—you will attend meetings, visit sites, and be present during setups and deliveries for events, animations, and LED activations.

Key Responsibilities
1. Project & Production Management
  • Manage multiple projects simultaneously from briefing to final delivery
  • Plan project timelines, task breakdowns, and priorities
  • Coordinate internal teams (animators, designers, editors)
  • Liaise with freelancers, vendors, and outsourcing partners when needed
  • Monitor progress and proactively resolve delays or issues
  • Ensure deliverables meet quality, timeline, and technical requirements
2. Client Servicing & Communication
  • Act as the main point of contact for assigned clients
  • Translate client needs into clear creative and production briefs
  • Attend client meetings, presentations, and site visits
  • Manage expectations, revisions, and approvals professionally
  • Provide regular updates and maintain good long-term client relationships
3. On-Site Execution & Delivery
  • Be present on-site for event setups, rehearsals, testing, and show days
  • Coordinate with technicians, venue teams, and partners during installation
  • Ensure content runs correctly on LED screens, projection systems, or interactive setups
  • Handle last‑minute changes calmly and professionally
4. Team Coordination & Accountability
  • Track tasks and responsibilities across the team
  • Follow up on deadlines and deliverables
  • Support management in performance tracking and KPI evaluation
  • Maintain documentation such as timelines, briefs, revisions, and final assets
