Key Responsibilities
Recruitment Support:
  • Handle end-to-end recruitment coordination for permanent hires and external contractors.
  • Manage job postings across internal and external platforms (e.g., Taleo, LinkedIn, referrals).
  • Conduct resume screening and collaborate closely with hiring managers for role requirements.
  • Coordinate interview schedules and support hiring managers during the selection process.
  • Track hiring progress and ensure timely closure of open roles.
  • Maintain candidate records in recruitment systems and prepare simple hiring reports.
  • Support company presence at external career fairs when required.
Onboarding Management:
  • Manage and execute onboarding processes for both permanent hires and external contractors.
  • Ensure clear differentiation between onboarding requirements for permanent vs. contract hires.
  • Coordinate first-day arrangements including workstation readiness, access requests, and orientation flow.
  • Assign new joiners to suitable project buddies and support the buddy program.
  • Collect onboarding feedback and monitor new joiner satisfaction.
  • Liaise with managers to ensure team leads are available to welcome new joiners on Day 1.
  • Maintain onboarding documentation, checklists, and process updates.
Training & LMS Coordination:
  • Organize mandatory onboarding training sessions for new employees and external contractors.
  • Work with trainers to schedule sessions.
  • Generate and issue training certificates for attendees.
  • Request and maintain LMS platform access for external contractors and partners.
  • Coordinate with the Learning Team to assign mandatory courses and track completion.
  • Provide follow-up reminders to ensure timely completion within the first month.
  • Support departmental training arrangements as requested by HOD or team leads.

Update the Power BI training dashboard by refreshing staff training records on a weekly basis.

Administrative & HR Support:
  • Prepare documents related to onboarding and training.
  • Support internal communication needs related to onboarding or training updates.
  • Assist in preparing welcome slides/photos for townhalls and new joiner announcements.
  • Contribute to continuous improvement of onboarding and recruitment workflows.
Qualifications
  • Diploma or Degree in Human Resources, Business Administration, or related field.
  • 1–3 years of experience in HR coordination, recruitment support, or onboarding preferred.
  • Strong communication and interpersonal skills.
  • Highly organized with strong attention to detail and ability to meet deadlines.
  • Able to work independently and collaborate with multiple stakeholders.
  • Positive attitude, proactive, and committed to delivering a smooth new-joiner experience.

Please note: This is a 6-month external contract role. The selected candidate will work on-site with the Mercedes-Benz Malaysia team but will be officially employed under a third-party agency.
