Responsibilities

Administrator, Stock Reconciliations and Investigation (Contract)

Job Description What is the opportunity? Our client is a specialist provider of asset services, custody, payments and treasury services. Our client has a processing centre of operational excellence supporting 10 countries across three geographical time zones employing a Global Operating Model to maximise efficiencies across time zones and supports a 24/5 operational capability. The objectives for Malaysia are to enhance the scalability of their global operations, improve service quality via their ‘centres of excellence’ and to implement/leverage standardised processes globally.

Working Hours : 4pm-1am / 3pm-12am

What will you do?
  • Provide operational support and control enabling the growth of Business in British Isles for multiple jurisdictions and business entities.
  • Execute the established control and risk management environment to ensure all reconciliations are produced in accordance with Bank standards and regulatory requirements.
  • Ensure reporting is delivered within the agreed SLA, advising business partners if timeframes cannot be met.
  • Operate common processes in support of all reconciliation and cash investigation activities.
  • Escalate file/statement issues to the Manager Reconciliations British Isles or IT British Isles to gain resolution.
  • Ensure all Cash reconciliations and control reporting activity are completed and performed in accordance with documented procedures.
  • Provide relief support and other duties as assigned on all functions performed within the team and across the department.
  • Ensure proper escalation of issues/risks to management.
  • Other duties as assigned by management.
Cash Reconciliation
  • Perform daily cash reconciliation and reporting on Nostro and Custodian cash accounts and internal suspense accounts.
  • Raise payment investigations, case resolution and escalation as required.
  • Ensure all discrepancies are investigated, raised to and rectified by relevant teams/departments.
  • Tasks will be performed for multiple Wealth Management legal companies.
Securities Reconciliation
  • Perform daily/monthly securities Transactional/Positional reconciliation of sub-Custodians and Mutual Funds.
  • Upload any manually received statements.
  • Ensure all discrepancies are investigated, raised to and rectified by relevant teams/departments.

  • Ability to complete ad‑hoc tasks and project deliverables by deadlines and achieve performance targets set.
  • Strong working knowledge in MS Outlook / MS Word / MS Excel.
  • Strong working knowledge in International Payments and Investigations.
Nice-to-have
  • Diploma / Degree in Business, Finance or related discipline preferred.
  • Self‑motivated and able to work under pressure in a dynamic and fast paced environment.
  • Minimum 2 years of working experience within a Private Bank or Wealth Management environment.
  • Good inter‑personal and communication skills (written and verbal).
  • Preferably with knowledge of Intellisuite reconciliation tools.
