A fast-growing IT solutions company in Puchong seeks an Executive Assistant to support the Managing Director. You will manage the MD's daily schedule, organize meetings, and handle confidential documents professionally. The ideal candidate has strong organizational skills, excellent written and verbal communication abilities, and is proficient in MS Office. Manage the Managing Director’s daily schedule, appointments, and calendar.
Organize meetings, prepare meeting materials, minutes, and follow-up action items.
Handle confidential documents, reports, and correspondence with strict professionalism.
Draft emails, letters, and internal communications on behalf of the MD.
Prepare, file, and maintain both physical and digital documents (quotations, agreements, invoices, proposals, HR documents, etc.).
Assist in preparing business proposals, presentations, and reports.
Ensure timely tracking of important deadlines, renewals, and submissions.
Liaise with internal teams (sales, technical, finance, operations) to follow up on tasks assigned by the MD.
Coordinate with external stakeholders such as suppliers, partners, and customers.
Serve as the main contact point for matters that require MD attention.
Assist in arranging travel itineraries and meetings.
Help oversee office administrative tasks when needed.
Support MD in project coordination, task monitoring, and documentation control.
