Responsibilities
- Accounts & Finance
- Prepare Accounts Receivable (AR) and Accounts Payable (AP), using Accounting software and liaise with counterpart in Singapore office on accounts matters.
- Prepare and update monthly and yearly financial reports related to the Malaysia office, and liaise with counterpart in Singapore office to prepare a consolidated financial report.
- Liaise with Company Secretary, Auditor, Tax Agent and Landlord
- Ensure timely handling of all statutory and monthly payments
- Issue invoices and all required supporting documents for clients’ payment processing.
- Follow up with clients on outstanding payments.
- Handle GST-related matters (if applicable).
- Payroll & Statutory Compliance
- Prepare monthly payroll accurately and on time
- Process and submit statutory contributions and payments including EPF (KWSP), SOCSO, EIS, LHDN, and HRDF within deadlines
- Ensure compliance with all relevant Malaysian employment laws and government regulations
- Human Resources (HR)
- Handle the full spectrum of HR functions including recruitment support, payroll support, managing staff onboarding and off boarding procedures
- Monitor and process staff confirmation, promotion, salary adjustment, appraisal, and related HR matters
- Maintain and update employee records and personal files (hardcopy and softcopy), including statutory and administrative documents
- Prepare, update, and maintain HR summaries, periodic reports, and staff leave records
- Contribute to continuous improvement of HR systems, processes, and documentation
- Assist Senior Executives in preparing, and updating HR policies, employee handbook, and company procedures
- Liaise with government offices on employee-related matters
- Administration
- Provide general office administration support, including facilities, maintenance, and service schedules
- Coordinate office operations to ensure smooth day-to-day functioning
- Others
- Perform any other duties as assigned by Management / Key Executives from time to time
Requirements
- Candidate must possess at least a Diploma, or Bachelor’s Degree.
- Well versed with local Employment Act and Statutory guidelines.
- Team Skills – being able to work collaboratively with others in a participative management environment.
- Excellent knowledge of MS Office/Accounting Software/Payroll Software
- Full comprehension of office management systems and procedures
- 5-10 years of experience in a similar role
