An international architecture firm seeks a proactive Business Assistant & Project Coordinator to support Directors with executive, administrative, and project coordination responsibilities.
This newly created role sits at the centre of a high-profile international project, providing essential executive and administrative support to two Directors. The position is fast-paced and varied, involving project coordination, documentation, scheduling across time zones, managing travel arrangements, and ensuring seamless communication between consultants, clients, and internal teams. It also includes broader responsibilities such as supporting office events, providing occasional cover for EA and Reception teams, and ensuring project filing and processes adhere to company standards. The role requires someone proactive, organised, and detail-focused who can anticipate challenges and help drive the success of a landmark project.
The ideal candidate will have at least two years of relevant experience in executive assistance or project coordination, with proven ability in diary management, documentation, and communication. Strong attention to detail, excellent organisational skills, and a proactive, solution-oriented mindset are essential, alongside discretion in handling confidential matters. The role demands flexibility, the ability to adapt to shifting priorities, and confidence in liaising with a wide range of stakeholders. Previous experience within architecture, engineering, or construction is desirable, while global travel coordination, excellent MS Office skills, and strong written and oral communication are required.
