Job Description

Reporting to our People Director, you will maintain a pleasant work environment, ensuring high levels of organisational effectiveness, communication and safety. You will be in contact with all levels of internal staff, clients, vendors and visitors.

This is a 3 day per week office based position. You will work closely with the cleaning team in Durban and the We-Work office in JHB and CPT to ensure the offices operate smoothly. You will be the go to person for all and any office related queries.

Your primary responsibilities will include:

  • Greet guests and manage visitor access.
  • Make sure that the office space meets health and safety regulations, and update monthly records for all 3 offices (JHB, CPT and Durban)
  • Ensure that all compliance such as First Aid and Fire Fighting are booked, health and safety box is stocked, fire extinguishers are serviced
  • Maintain all Basic Conditions of Employment standards in all offices.
  • Liaise with all vendors for all offices in SA such as Nespresso. Labour net, Cleaning Company and rental offices(We-work + Collins) to name a few
  • Collaborate with third-party companies such as security staff, reception and cleaning services to ensure that the office is tidy, organised and efficient.
  • You will manage and lead the duties of the cleaner in the Durban office.
  • Arrange all parking and related duties in JHB and CPT.
  • Work with the IT Helpdesk to ensure that IT requirements are met throughout the office.
  • Support the HR team on the onboarding and offboarding processes.
  • Book travel and accommodation when needed
  • Order stationery, food and beverages for meetings and events.
  • Purchase of bi-weekly grocery orders for all offices in SA.
  • Ensure stock is accounted for and reconciled monthly.
  • Work with Event teams or managers to plan and execute JF events in an efficient manner.
  • Spearhead, co-ordinate and plan all special day events in conjunction with Regional Partner.
  • Communicate, plan and schedule monthly ALL Hands and similar meetings monthly and as needed.
