Key Responsibilities

The Finance & Compliance Associate will support the finance, compliance and governance, administration, and office management functions across the Paladin Africa Group in South Africa and Rwanda.

Finance
  • Support the Group Financial Manager with day-to-day finance operations.
  • Perform bookkeeping, bank, debtors, and creditors reconciliations.
  • Capture and process invoices, payments, and journal entries accurately.
  • Prepare payment requisitions and load payments on online banking for approval.
  • Assist with monthly management accounts, budgets, and cash flow forecasting.
  • Prepare and maintain financial documentation for board packs and investor reporting.
  • Assist with the administration of the group’s listed-equity portfolio, including:
    • Ensuring trade and transfer instructions are correctly executed by brokers and custodians.
    • Monitoring and confirming the receipt of dividends and corporate-action proceeds.
    • Reconciling cash and position movements related to investments and ensuring accurate record-keeping.
    • Liaising with brokers, custodians, and service providers on trade settlements, reporting, and documentation.
  • Provide assistance with audit preparation and coordination, including preparing supporting schedules, liaising with auditors, and maintaining documentation.
  • Liaise with bankers, auditors, stockbrokers, custodians, and other service providers on financial and administrative matters.
Compliance & Governance
  • Assist with FSCA compliance, including maintaining compliance registers, policies, and reporting obligations.
  • Support FICA compliance, ensuring all documentation for clients, shareholders, and counterparties is current and complete.
  • Maintain UBO registers, directors’ declarations, and statutory compliance records.
  • Complete and submit regulatory forms (e.g., FSCA, SARB, SARS, RRA, RDB, custodians, or other authorities).
  • Prepare and submit South African and Rwandan filings, annual returns, and company secretarial documentation.
  • Prepare meeting agendas, minutes, and resolutions for board and shareholder meetings.
  • Maintain accurate corporate records, including company registers, share certificates, and governance files.
  • Liaise with auditors, bankers, regulators, stockbrokers, and other stakeholders to ensure compliance and governance alignment.
Administration
  • Assist management with the preparation of board packs, reports, and investor correspondence.
  • Coordinate the flow of documentation across finance, compliance, and investment teams.
  • Maintain orderly and accurate electronic and physical filing systems.
  • Draft, proofread, and format internal and external documents, ensuring professional presentation.
  • Support management with ad-hoc projects, reporting, and research tasks.
  • Assist with the completion of financial, regulatory, and compliance forms as required.
  • Contribute to the continuous improvement of internal processes, controls, and documentation.
Office Management
  • Manage all office operational, IT, and logistical matters.
  • Maintain office supplies and ensure all resources are available when needed.
  • Ensure the office environment is clean, well‑organised, and functional.
  • Prepare the office and meeting rooms for meetings and visitors.
  • Manage office service providers (IT, cleaning, security, maintenance).
  • Assist with planning and coordination of events, meetings, travel, and deliveries.
  • Act as a central point of coordination for the office, ensuring a professional and efficient working environment.

Head Office: Techno Park, Stellenbosch.

Qualifications & Experience
  • Tertiary qualification in Accounting, Finance, or related field.
  • Minimum 2 years’ experience in finance and FSCA compliance in the financial services industry.
  • Strong understanding of finance, financial regulations, governance, and statutory reporting requirements.
  • Proficiency in Microsoft Office and Xero.
  • Own vehicle and driver’s licence.
