The Receptionist and Admin Specialist is responsible for office administration support, including reception duties, executive admin support, vendor coordination, site security, and miscellaneous admin tasks.

This role reports to the Site Security and Admin Manager, is part of the Administration team located at Harbourfront Centre, and requires on-site presence.

1. Reception and administrative duties: managing visitors, answering calls, handling mails and couriers, issuing office badges, processing business card requests, replenishing pantry supplies, and supporting senior management with calendar, travel, meetings, and claims.
2. Vendor management: overseeing facilities vendors, ensuring a clean and organized office, raising purchase orders.
3. Site security and crisis management: providing support and performing tasks per security and crisis protocols.

1. Minimum 2 years’ experience in an admin support role.
2. Proficient in Microsoft Office, especially Excel (PivotTables, VLOOKUP), Word, and PowerPoint.
