Job description

The Service Administrator will work closely with the Regional Service Manager to ensure smooth daily operations of the service department.

Service Administration
  • Provide co-ordination and administrative support to the Regional Service Manager

  • Communicate effectively via phone/email/fax with our regional offices and dealer shipyards

  • Effectively maintain and update records of boats and clients in our internal CRM/ORION system and make full use of each shipyard software systems to record and approve warranty claims

  • Develop and implement standard operating procedures for the service department

  • Maintain effective and timely communication with engineers and obtaining regular update for all work orders (planned, current and outstanding)

  • Negotiate prices and payment terms with contractors and suppliers

  • Prepare and process purchase orders for parts or services from suppliers

  • Prepare quotations for clients

  • Generate invoices for works and ensure that payments are received in a timely manner

  • Schedule thrid party contractors and liaise with our engineers

  • Maintain proper filing systems online and offline

  • Prepare and assist for yacht handovers, including any documents or folders for owners

  • Assist with travel and accommodation arrangements for service department

  • Schedule and monitor service staff holidays, sick leave, planned leave to ensure that all planned works are completed on time and with sufficient manpower

  • Assist with the management of the company stock boats , crew, berthing, deliveries and related documentations

  • Assist with the organization of the boat show and other company events

  • Record and address and invoice to the related customer or department the labor hours of the services staff

  • Collaborate closely with other SEA Service administrator to ensure procedure and recording are harmonized on a regional level and that records are easily accessible from any other SEA service department

General Office Administration
  • Answering calls and attending to walk-in visitors

  • Procurement of office stationery, equipment and pantry supplies

  • Manage all incoming and outgoing courier

  • Co-ordinate with Sales office administrator for office operations

  • Work closely with finance department for incoming and outgoing payments

  • Assist with any ad-hoc tasks assigned by management

Requirements
  • Candidate must possess at least Diploma/Advanced/Higher/Graduate Diplomain any field.

  • At least 3Year(s) of working experience in the related field is required for this position.

  • Required Skill(s): Customer service, administration

  • Preferably Senior Executive specialized in Clerical/Administrative Support or equivalent.

  • Quick learning to nautical terms is essential

  • Flexible work arrangement can be discussed
