Shopping Mall - Property Manager/ Assistant Manager
The Property Manager is accountable for the overall management, operations, and upkeep of the retail asset, ensuring smooth daily running, high tenant satisfaction, strong safety standards, and protection of the property’s long-term value. The role covers facilities and building management, coordination of service providers, operational budgeting, and adherence to statutory and safety requirements across the property.
Key Responsibilities
- Oversee daily operations and upkeep of the property, including common areas, building services, and related infrastructure.
- Ensure mechanical, electrical, plumbing, HVAC, fire protection, and civil-related systems are properly maintained and functioning.
- Plan, schedule, and supervise preventive and corrective maintenance activities for the property.
- Serve as the main point of contact for tenants on property and operational matters.
- Coordinate and monitor tenant fit-out works to ensure adherence to property guidelines and technical requirements.
- Handle tenant feedback, complaints, and day-to-day operational issues promptly and professionally to maintain good relationships.
- Manage and supervise service providers such as security, cleaning, landscaping, and maintenance contractors.
- Monitor contractor performance to ensure service delivery meets agreed standards and service level agreements (SLAs).
- Review quotations, issue work orders, and verify completion of works before recommending payment.
- Assist in preparing and managing annual operating budgets, including maintenance and service-related costs.
- Monitor expenses and implement cost‑control measures while maintaining required service levels.
- Review invoices and endorse payments in accordance with approved budgets and contract terms.
- Ensure compliance with applicable laws, building codes, fire safety requirements, and environmental regulations.
- Conduct regular site and safety inspections, including identifying risks and recommending corrective action.
- Support the implementation of emergency response plans, including evacuation procedures and drills.
- Prepare periodic reports covering operations, maintenance, incidents, and other property‑related matters.
- Maintain accurate records of building assets, maintenance plans, service histories, and statutory certifications.
Requirements
- Bachelor’s Degree or Diploma in Property Management, Civil Engineering, Facilities Management, Building, or a related built‑environment field.
- Minimum 3 years of relevant experience in property or facilities management, ideally within shopping malls, commercial offices, or mixed‑use developments.
- Strong technical understanding of building systems, services, and civil/structural works.
- Familiarity with local regulatory requirements, safety standards, and statutory obligations related to property and building operations.
