The Role

The People Services Specialist, Talent Acquisition (TA) Delivery, supports the execution of recruitment‑related administrative and transactional activities within the People Services Hub in Kuala Lumpur. This role works closely with recruiters, hiring managers, and vendors to ensure a smooth and efficient candidate experience. The Specialist is responsible for coordinating key steps in the recruitment process, maintaining accurate records, and supporting compliance with internal policies and service standards.

Talent Acquisition Support

Post job requisitions on internal and external job boards as requested.

Schedule interviews and coordinate logistics between candidates and hiring teams.

Follow up with candidates on application status, documentation, and interview arrangements.

Support pre‑onboarding activities such as background checks and document collection.

Assist with off‑boarding coordination, including exit interview scheduling and documentation.

Maintain accurate and up‑to‑date records in the applicant tracking system (ATS) and HR platforms.

Respond to and handle TA related inquiries which have been escalated by helpdesk team.

Reach out to TA COE, if required, for their expertise to address inquiries promptly and accurately.

Liaise with external recruitment vendors for scheduling and candidate updates.

Collaborate with recruiters and hiring managers to ensure timely and accurate support throughout the hiring process.

Escalate issues or delays to the TA & TMOD Delivery Lead as needed.

Process Compliance & Improvement

Ensure all recruitment activities are conducted in line with internal policies and data privacy regulations.

Support the documentation and maintenance of standard operating procedures (SOPs).

Identify opportunities to improve efficiency and candidate experience in TA delivery.

Reporting & Administrative Support

Assist in generating basic reports on recruitment activity and candidate pipeline status.

Support general administrative tasks related to TA delivery as assigned.

General Administrative Support

Assist with miscellaneous TA‑related administrative tasks as assigned.

About You

Diploma or Bachelor’s degree in Human Resources, Business Administration, or a related field.

1–2 years of experience in HR operations, recruitment coordination, or shared services.

Familiarity with applicant tracking systems (ATS) and HR platforms such as SAP SuccessFactors or Workday is a plus.

Strong organizational skills and attention to detail.

Good communication and interpersonal skills.

Fluent in English; additional Mandarin/Cantonese proficiency is an advantage.
