JOB LOCATION :

OVERVIEW We are seeking a Trust Administrator (Legal & Operations) to manage and ensure that all legal and operations matters, specifically in drafting of legal documentation relevant to the business (e.g. trust deeds, wills) are conducted to the standards of the company. You will also be required to assist in the drafting of letters, memorandums and/or other forms of correspondences to clients and stakeholders, as an when required by the company.

DUTIES & RESPONSIBILITIES :
Legal & Operations Administration
- Assist in the preparation, review, and maintenance of trust related legal documents.
- Ensure trust structures comply with applicable trust laws, regulatory requirements, and internal governance policies.
- Support Know-Your-Customer (KYC), Anti-Money Laundering (AML), and due diligence processes.
- Maintain accurate and up to date trust records, registers, and statutory documentation.
- Liaise with legal advisors, regulators, and internal compliance teams when required.
Operational & Trust Administration
- Coordinate the execution, safekeeping, and distribution of trust documentation.
- Monitor ongoing trust administration matters, including amendments, updates, and variations.
- Ensure timely and accurate documentation flow between internal teams and external stakeholders.
- Support trust related operational reporting and audit requirements.
- Complete administrative tasks within specified timelines to support operational efficiency.
Legal & Documentation
- Prepare and vet wills, trust, and related estate planning documents.
- Assist in structuring and implementing estate planning solutions in accordance with applicable laws.
- Ensure all legal and estate planning documentation meets regulatory, legal, and internal standards.
Regulatory & Compliance
- Maintain a strong understanding of laws and regulations governing trusts, wills, and estate planning.
- Ensure continuous compliance with regulatory standards, internal policies, and procedural guidelines.
- Support compliance reviews and regulatory inspections when required.
Reporting & Documentation
- Prepare trust-related reports, statements, and regulatory filings as required.
- Maintain accurate and up-to-date records in accordance with audit and regulatory standards.
- Support audit and internal reviews by providing necessary documentation and explanations.
- Collaborate effectively with clients, internal teams, and external professionals to ensure smooth coordination and successful outcomes.
- Keep up-to-date with internal processes, regulatory changes, and industry best practices to enhance accuracy, efficiency, and compliance in daily operations.
- Collaborate with various departments to optimize operational procedures and ensure effective teamwork across the organization.
Additional Responsibilities
- Perform other relevant tasks as assigned by senior management to support the efficient operation of the business.
JOB REQUIREMENTS :
- 1–3 years of relevant experience in Trust Administration, Legal Practice, Banking Operations, or a regulated financial services environment.
- Possess a Law Degree.
- Proven working experience in legal field.
- Proven knowledge of legal requirements and controls (e.g. Anti-Money Laundering / Syariah, etc.).
- Experience in the legal, insurance, financial services, or will-writing services will be an added advantage.
- Knowledge of KYC and AML practices is an added advantage.
- Fluent in Bahasa Malaysia and English.
- Proficient in Microsoft Office application and other relevant software.
- Excellent written and verbal communication skills, with the ability to offer valuable insights.
- Ability to work effectively in a fast-paced environment with minimal supervision.
- Excellent interpersonal skills, with the ability to engage effectively with diverse audiences.
- Strong organizational skills and the ability to prioritize tasks under pressure.
- Experience in handling confidential information securely.
- Strong analytical and problem-solving skills, with the ability to assess legal challenges and provide strategic solutions.
- Familiarity with industry practices and professional standards.
