Key Objective
To ensure UCSI Schools Group’s long-term business objectives in optimising talent acquisition and employee growth.
Talent Acquisition & Workforce Planning
- Develop and implement recruitment strategies, including workforce forecasting, to ensure timely and effective hiring aligned with UCSI Schools' needs and financial planning.
- Ensure positions are filled promptly to maintain workflow continuity with zero downtime.
- Oversee end-to-end recruitment, from job postings and resume screening to interviews and onboarding.
- Collaborate with department heads on manpower planning, budget considerations, and job description development.
- Optimise recruitment strategies to attract top talent and meet the organisation’s evolving needs.
- Maintain updated and accurate recruitment trackers.
- Produce reports on recruitment activities, ensuring alignment with organisational objectives.
- Ensure a seamless and positive candidate experience throughout the recruitment process.
- Utilise various channels (social media, job boards, networking events) to identify and attract qualified candidates.
- Develop and implement assessment tools and interview processes to ensure the selection of the best talent.
- Oversee the implementation of the Teachers Trainee Programme (TTP) and the future Management Trainee Programme.
On-Boarding And Documentation
- Develop, plan, refine and conduct on-boarding programme for new employees to ensure that they feel welcome and prepared in their new positions with confidence and enough resources to make an impact to the organization and to foster positive attitude toward organizational objectives. The activities include:
- Prepare Staff Introduction Letter in order for new staff to open a bank account where necessary.
- Liaise with Computer Services Department for email creation for new staff.
- Create account for staff in IIS.
- Prepare telephone extension list, duty schedule when applicable.
- Ensure return of new staff checklist and any other HR forms for documentation.
- Create new personal files.
- Assist in opening bank accounts, EPF etc.
- Serve as a link between management and employees by handling questions, interpreting and administering and helping resolve work‑related problems.
- Maintain records and compile statistical reports concerning personnel‑related data such as start date, teaching permit, employment pass, hire date, qualification, experience, transfers, performance appraisals, and absenteeism rates.
- Ensure all information are up and maintained regularly in the IIS, website and the Employment Master; including removal and deactivation in cases of resignation etc.
- Resolve grievances or queries that any of the employees have. Escalate to the right level depending on the nature of the grievance or issue.
MOE/Employment Pass/Teaching Permits
- Oversee the process of securing necessary permits, such as expatriate employment passes, dependent passes, and teaching permits.
- Liaise with the Ministry of Education (MOE) for submissions and approvals, ensuring full compliance with government regulations.
Compliance And Policy Governance
- Ensure compliance with local labour laws, regulatory standards, and internal policies.
- Support the development, implementation, and review of HR policies and procedures to align with legal requirements and organisational needs.
- Conduct audits of HR processes to maintain compliance and drive continuous improvement.
Learning & Development
- Identify training needs and develop programmes to address skill gaps within the organisation.
- Design and deliver training sessions, including workshops and e‑learning modules, to foster employee development.
- Promote a culture of continuous learning and upskilling throughout the organisation.
- Manage the Learning & Development budget and track training outcomes to ensure effectiveness.
