Job summary

A fast-growing F&B brand is seeking an Executive Assistant to the CEO to drive execution on complex cross-border initiatives. This role is critical in supporting the CEO directly and is designed for highly organized individuals with proven coordination skills. The ideal candidate will have 3-5 years experience supporting senior leaders and must possess strong English proficiency. Compensation ranges from RM 6,500 to RM 9,000 monthly, based on experience.

About the Company

EFC Group is a founder‑led F&B brand with operations across Australia and multiple Asian markets. The business is currently in an active expansion phase involving new market entry, partnerships, regulatory work, and cross‑border coordination. Which include our Well‑known Brand: Gotcha Fresh Tea.

Experience in F&B or retail industry is preferred but not required for this role.

The CEO is hands‑on in driving regional growth and works closely with a small, trusted team to ensure execution across markets. This role supports the CEO directly and plays a critical role in keeping complex, multi‑country initiatives moving.

About the Role

This role supports the CEO directly and focuses on driving execution across complex, multi‑country initiatives. It is not a traditional administrative or personal assistant role. The role requires strong follow‑through, coordination, and comfort working in a fast‑moving, sometimes ambiguous environment with multiple stakeholders. The emphasis is on execution (≈70%) and structured thinking (≈30%).

Key Responsibilities
Cross‑border Execution & Coordination
  • Track and drive progress across multiple initiatives involving different countries and stakeholders
  • Proactively follow up with partners, advisors, suppliers, and internal teams to ensure momentum
  • Identify bottlenecks, delays, and risks early, and propose next steps
Malaysia Market Setup & Operations
  • Coordinate office and store location search processes and track progress
  • Support recruitment coordination and hiring follow‑ups
  • Track lease discussions and summarise key commercial terms
  • Coordinate import processes, supplier documentation, and halal certification progress
Partners, Franchise & Distributors
  • Support coordination with potential franchisees and partners
  • Prepare meeting materials and manage post‑meeting follow‑ups
  • Maintain communication cadence with country master partners and distributors
  • Track orders, commitments, and business follow‑ups
Legal, Regulatory & Supplier Coordination
  • Coordinate with external legal and regulatory advisors across different countries
  • Track trademark, import, franchise law, and compliance‑related matters
  • Consolidate legal and regulatory updates into clear summaries highlighting risks and decision points
  • Follow up with suppliers on orders, timelines, and documentation
CEO Support & Reporting
  • Consolidate fragmented information into concise, structured updates for CEO review
  • Maintain clear tracking of actions, owners, timelines, and status across initiatives

(Administrative or routine scheduling support is secondary and limited.)

Ideal Candidate Profile
  • Experience supporting a Founder / CEO or senior leader in a complex, fast‑moving environment
  • Minimum 3-5 years of experience supporting a Founder/CEO in a complex business environment is required
  • Strong execution mindset with proven follow‑through and coordination capability
  • Comfortable managing ambiguity and multiple stakeholders across countries
  • Highly organised, reliable, and proactive
  • Strong written and verbal English; Multi‑language skills is a strong advantage
  • Advanced/fluent level English proficiency required for written and verbal communication
What This Role Is NOT
  • Not a traditional administrative or personal assistant role
  • Not an office management, receptionist, or purely scheduling role
  • Not suitable for candidates who require constant instruction or prefer routine tasks

Compensation
