We currently have an exciting opportunity for a People Coordinator to join our People Team in Glasgow/Falkirk. The role is offered on a permanent, full-time basis, and with a starting salary of £30,069 (pay award pending). Working hours 35 hours per week, on a hybrid model, Monday-Friday.

Purpose of the role
The People Coordinator role supports Scottish Canals in being a great place to work where people feel valued. The People Coordinator will be responsible for providing a variety of responsibilities including acting as first stop coordination and signposting of people related tasks, a wide range of administrative, data analysis and reporting and generalist support across the employee lifecycle, including our Talent, People Operations, and L&D functions. This is a role that offers an opportunity for growth and development for someone who is ready to progress from a more transactional hr administration role toward a more people advisory role.
Primary responsibilities of the role :
Recruitment & Onboarding
- Creating job descriptions and adverts, maintaining our job boards and careers socials, and posting ads using our employer brand toolkit
- Creating interview schedules for hiring managers and inviting candidates to interview.
- Leading on the pre-boarding experience including the completion of right to work and compliance checks for all new starters.
People Operations
- Acting as first point of contact for the People team, managing the shared inbox.
- Advising our managers on policy and procedure, escalating where appropriate to the relevant People team member.
- Supporting the monthly payroll cycle, by collating information ensuring accurate and timely processing in line with set deadlines.
People Development
- Coordinating training and development activities including updating materials, managing attendance, arranging venues where required
- Liaising with external training partners, assessing relevant learning and development options, responding to questions, and providing information.
- Monitoring the training budget, including assisting in tracking spend, ensuring the payment of invoices and supporting the administration of the apprenticeship levy funding.
Systems, Reporting and Compliance
- Coordinating the analysis of learning needs to inform development activity, gathering and reviewing data and insights to drive improvements.
- Maintaining accurate employee data records on the People systems and preparing and maintaining reports.
- Providing user support and guidance for queries related to the People systems.
- Ensuring that data is processed via the system in a secure and systematic way, in compliance with GDPR and company procedures.
The People Coordinator will also have opportunities to assist in ad-hoc People projects and business partnering of supervisors and mangers
Knowledge, skills, and experience
- Excellent customer service skills, including the ability to manage customer expectations effectively, juggle conflicting demands and manage difficult situations tactfully.
- A good understanding of core HR functions like recruitment, onboarding, employee relations, performance management, and payroll is essential.
- Familiarity with relevant employment legislation and compliance requirements is.
- Ability to gain a good understanding of policies and procedures in order to be able to provide managers and staff with advice in relation to formal procedures
- Strong Microsoft Office skills, particularly Outlook, Word and Excel
- Excellent oral and written communication and interpersonal skills
- Excellent attention to detail and strong organisational skills
- Ability to extract and leverage data for forecasting
- Educated to degree level in a relevant discipline.
- Proven HR experience of HR Administration with an interest and experience in recruitment, and training and development.
- Excellent interpersonal skills and can build good working relationships.
- Excellent team working skills, including the ability to build effective relationships.
- Ability to collaborate with people at all levels of the organisation
- Able to use data management systems and has a working knowledge, entering data into relevant systems, ensuring data quality and can maintain accurate records and be able to analyse and interpret data.
- Attention to detail and accuracy - ensures facts are correct, complete and consistent.
- Can recognise when immediate judgements can be made and when queries require upward referral to management for guidance.
- Can demonstrate sound judgement regarding appropriate best practice and relevant employment legislative frameworks.
- Takes accountability for actions and ownership to get things done.
- Responds quickly to meet customer needs.
- Proficient IT skills including MS Office, Word, Excel, PowerPoint drafting documentation and complex reports.
- Full UK driving license or regular/consistent access to driver to travel between remote offices on a regular basis.
- Permission to work in the UK.
- Knowledge of current thinking in HR issues and trends and employment law.
- CIPD qualified, Associate or above or willingness to work toward this qualification.
