Job Description

This position is a part of the Non-Academic Staff Association (NASA).

This position has a term length of 1 year.

Location - This role is hybrid with a mix of remote and in-person work at North Campus Edmonton.

The Academic Program Coordinator is responsible for the effective management and support of faculty-wide academic program activities related to the undergraduate and graduate programs. This position works closely with, and is directly supervised by the Associate Dean (Undergraduate Programs). This position provides administrative support to the Associate Dean, Undergraduate as required. The position requires a strong understanding of the Faculty’s academic programs, general academic programming and administration, operational and programming needs, and excellent communication and organizational skills. This position also demands the ability to work both independently and as a team member, innovative problem-solving skills, solution finding and facilitation capacity, as well as the ability to prioritize and complete multiple competing tasks under challenging time constraints.

Responsibilities

Course & Academic Programs Administration

In collaboration with the ADU and the KSR Lead, Undergraduate Programs (LUP) in the student services office, ensures that the administration of academic programs is covered by:

  • Completing all components related to undergraduate course prerequisite checks and repeat/duplication checks at the beginning of each term.
  • Completing and administering all undergraduate change of final grade requests at the end of each term.
  • Identifying and making the ADU and ADG aware of courses with low registration enrollments and recommendations for course cancellations that are aligned with course cancellation deadlines each term.

Instructor and Teaching Support

Manage day-to-day activities related to instructor teaching communication & support for Undergraduate and Graduate programs, working with the leadership team to develop consistent processes, enhanced standards, and best practices.

  • Works with Associate Deans Undergraduate (ADU) and Graduate (ADG) to facilitate the instructor appointment process.
  • Serves as the Faculty first point of contact for all KSR instructors on teaching matters and teaching-related needs (e.g., challenging and complex student concerns, emergency/casual bookings of classroom/space needs, scheduling changes, record keeping, and contract related issues).
  • Consulting and coordinating with the ADU and ADG, on course-based and/or instructor issues as appropriate and advises on solutions.

Deferred & Rescheduled Exams

  • Works with the ADU to ensure consistency and appropriateness of undergraduate final exam delivery across the Undergraduate Program area.

University Calendar & Governance

  • Works directly and in collaboration with the ADU and ADG to ensure Faculty University Calendar Administration and Governance Management in relation to Academic Programming on behalf of the Faculty.
Qualifications
  • Undergraduate degree in Kinesiology; Sport Management; Recreation & Leisure Studies, Education or Business, and/or a diploma in an appropriate area demonstrated with experience in academic administration.
  • Minimum 2 years’ experience with program/administrative coordination.
  • Thorough understanding of databases and database integrity procedures is necessary.
  • Experience with PeopleSoft (financial) is a definite asset.
  • Experience with the University Academic Calendar and Campus Solutions preferred.
  • Strong knowledge of University policies and procedures, affiliated partners and F&O/University business and academic scheduling procedures.
  • Knowledge of security controls, cash handling and reconciliation.
  • Problem solving and troubleshooting are necessary.
  • Able to work in a team setting as well as independently.
  • Able to organize oneself efficiently and effectively.
  • Able to meet tight deadlines and able to recognize timelines of other areas.
  • Excellent at clearly communicating with various parties (externally and internally) using a variety of methods, including phone, remote, email, and in person.
  • Familiarity and good understanding of the principles and practices of providing excellent customer service and the ability to implement these principles and practices in a positive, encouraging manner.
  • Experience with budget preparation and monitoring is preferred.
