Job Summary

The University of British Columbia Faculty of Medicine s Division of Rural Continuing Professional Development (UBC RCPD) strives to meet the continuing education and professional learning needs of practicing physicians in rural and remote BC. The UBC CPD Coordinator is a key member of the UBC RCPD education team. As such the incumbent contributes their creativity project coordination and relationship building skills as well as their educational expertise to growing the education and innovation capacity of RCPD.

This position is responsible for contributing to the research development coordination evaluation and implementation of custom educational programs and courses in the Ultrasound Education portfolio within the RCPD Program. The individual manages the delivery of programs / courses in both online and in-person formats for physicians and other health professionals in British Columbia. The individual also works to ensure that all levels of coordination of multiple on-going community-based rural CPD programs are implemented effectively successfully within budget utilizing a variety of computer organizational and prioritization skills and tools.

This position reports to the UBC RCPD Senior Manager and works closely with other members of the UBC CPD and UBC RCPD team.

• Works closely collegially and collaboratively with the other UBC CPD staff as well as UBC CPD s senior leadership Medical Directors and consultants.
• Interacts regularly with various departments on campus within and outside of the Faculty of Medicine administrators of campus and hospital departments healthcare organizations funding agencies planning committees external service providers (e.g. event venues caterers videoconferencing and audio / visual support) program / course participants (e.g. physicians nurses and other health care professionals) as well as physicians and other health professionals in practice.

Work Performed

• Manages and leads program development for the Ultrasound Education portfolio with support from interest holders course Medical Leads and UBC CPD management to develop sustainable closer-to-home programming
• Provides guidance to physicians and others in the design accreditation and coordination of CPD events
• Works with UBC CPD Director and Senior Manager project advisors and others to create implement and maintain project plans proposals and budgets
• Plans and schedules the community courses collaboratively with communities in a cost-effective and timely manner based on feasibility and logistics of equipment / resource availability
• Leads planning meetings with medical leads to discuss innovations / ideas for course portfolio
• Identifies areas of growth and innovation for new programming
• Works with UBC CPDs Creative Learning team to oversee online course development and updates

• Oversees all aspects of the delivery of educational programs / courses including annual course bookings and instructor teaching schedules
• Provides orientation and overview of community course programming to CME Coordinators physician leads and local coordinators
• Oversees the maintenance of course inventory and flags relevant information individuals and details for future offerings and partnerships
• Contributes to the development and dissemination of program policies and guidelines with both external and internal parties

• Manages and amends plans based on projected revenue works with financial staff on post program financial statements with support from the Senior Manager

• Maintains a close working relationship with key program partners and rural stakeholders (e.g. RCCbc REAP Post Grad Office BC Health Authorities and other key rural partners)
• Builds understanding of medical context and develops appreciation for key factors affecting rural and remote medical practice
• Understands and acts in alignment with the vision and mission of UBC RCPD and UBC CPD

• Develops and implements evaluation strategies and coordinates education program evaluation activities
• Supports the preparation of abstracts manuscripts and reports (for conferences funders and peer reviewed publication)
• Develops and conducts surveys; performs data preparation collection entry and analysis (qualitative and quantitative)

• Develops marketing materials for copy print and electronic media and ensures marketing is appropriately tailored to learners

• Supervises one or more full-time RCPD program staff and is responsible for hiring performance management discipline and termination

The incumbent will be required to show judgment and decision making which has the potential to impact UBC CPD reputation product viability project funding and the opportunity for future research development.

Exercising poor judgment and / or inappropriate lack of consultation has the potential to adversely affect the viability and validity of research projects educational programs projects grant-based funding or other means necessary to sustain itself.

The incumbent receives ongoing guidance and support from the UBC RCPD Senior Manager and works under the general direction of the UBC CPD Director. Works with a high level of independence and is responsible for task planning and prioritization. Meets monthly with senior staff to review performance and portfolio. At a project level receives strategic direction from project medical leads some of whom may work remotely. This position requires working effectively within a relatively flat organizational structure with a significant degree of self-direction. Works with considerable autonomy on projects within portfolio.

Responsible for the supervision of program coordinator program assistant research staff / assistant temporary staff or technical staff. This includes regular performance reviews and performance management of primary program support person.

Undergraduate degree in a relevant discipline. Minimum of four years of related experience or the equivalent combination of education and experience.

• Preferred experience in an administrative role with demonstrated experience in a cost recovery environment for a minimum of 4 years
• Experience in teaching adults an asset
• Computer experience required. Working knowledge of both traditional and online methods of course delivery required
• Demonstrated knowledge and expertise of information technologies and communications tools
• Demonstrated knowledge of effective instructional design
• Database experience an asset; data analysis software (SPSS or equivalent) preferred
• Experience with the requirements and procedures of educational research including experience with a variety of research traditions and methodologies
• Experience in working with the medical community Ability to prioritize and work effectively under pressure to meet deadlines
• Ability to identify obtain and effectively manage organizational resources (e.g. people materials assets budgets)
• Ability to work effectively independently and in a team environment
• Ability to deal with a diversity of people in a calm courteous and effective manner
• Ability to build relationships and work collaboratively with project leadership and partners as well as all others involved in the delivery of educational initiatives
• Ability to communicate effectively verbally and in writing
• High level of proficiency in MS Word Excel PowerPoint as well as e-mail and Internet required
