Full Time Support Group Staff
Location: Atlantic, Ontario, or Manitoba – CA (Work from home)
Pinchin is recruiting for a Compliance Specialist to join the Finance & Administration department in Canada. We are seeking a highly organized individual for a full-time role, based out of Atlantic, Ontario, or Manitoba, on a remote or hybrid basis. The Compliance Specialist will support our Security Clearances team and undertake additional ad hoc duties as required.
A Day in the Life of a Compliance Specialist at Pinchin:
Vendor Onboarding:
- Respond to vendor onboarding requests and evaluate submissions to meet Pinchin’s requirements.
- Enter vendor data into the Vision system, ensuring accuracy and maintaining organized records.
- Coordinate with Accounts Payable during payment cycles.
- Follow guidelines, seek exception reviews from the risk team when necessary, and communicate regularly with executive-level employees.
- Track WSIB and WCB statuses via online databases for all vendors and update Vision accordingly.
- Verify the consistency, completeness, and accuracy of vendor and insurance data.
Client Onboarding:
- Handle client requests efficiently with appropriate turnaround times.
- Gather information and complete annual prequalification documentation for clients.
- Interact with potential clients to set up in SharePoint (Client Grove) and Vision.
- Review client information against engagement criteria, e.g., retainer policies.
- Maintain the 'Client Grove' database.
- Identify opportunities to improve and automate the client engagement process.
- Collaborate with departments like Accounts Payable, Safety, IT, and Security to gather required information.
- Respond promptly and professionally to client requests.
Insurance:
- Understand RFP/Tender documents and prepare insurance certificates as per requirements, liaising with the Insurance Broker for complex requests.
- Prepare WSIB and WCB Clearance Letters upon request.
Security Clearances:
- Assist with maintaining employee and organization security clearances, ensuring compliance with company, government, and client security standards.
What You Bring to the Pinchin Team:
- Knowledge of insurance, risk mitigation, or strong problem-solving skills with the ability to learn insurance processes.
- Good judgment and critical thinking skills for investigating and resolving issues.
- Ability to work independently with minimal supervision.
- Excellent interpersonal skills.
- Post-secondary education with at least 5 years of administrative experience preferred.
- Proficiency with Microsoft Office Suite.
- Eligibility to obtain PWGSC Secret (Level II) Security Clearance, with no criminal record and residence in Canada for the past 5 years.
- Ability to complete and maintain PSPC Controlled Goods Designated Official Certification.
- Maintain confidentiality and professionalism.
