A logistics company in Gqeberha is seeking a Stores Manager to oversee stock management and store operations. Responsibilities
- Manage store assistants.
- Receive stock from supplier and compare to items delivered.
- Notify Procurement if items received are incorrect.
- Update procurement chat group with delivered items status.
- Print out the PO each morning.
- Follow up with suppliers to ensure delivery.
- Check delivered items for accuracy.
- Handle material handover to technicians.
- Store keys must be kept by the Stores Manager.
- Perform monthly stock take of the entire store.
Responsibilities
- Manage store assistants.
- Receive stock from supplier (compare PO to supplier invoice, compare to items delivered).
- If items received are not correct, notify Procurement and arrange for correct items to be delivered.
- Update procurement chat group with items delivered status.
- Print out the PO for the day each morning and prepare for suppliers to deliver.
- Follow up with suppliers to ensure they deliver on the scheduled day.
- Check delivered items in detail to confirm correct part numbers, make, descriptions, volume, size, and more.
- Technicians request van stock and materials by 16:00 to be ready for collection the next morning.
- Handle material hand over to technicians.
- Draw project materials from stock and allocate correctly for staff collection.
- Receive project materials directly into the correct allocated area.
- Issue a packing list for each project and prepare all items and materials accordingly. Capture detail photos of every packing and apply double‑check stickers.
- Manage the stores area.
- Manage the dispatch area and vehicle parking.
- Manage the delivery gate; gate must always be closed and only open for deliveries.
- Manage the dispatch gate; gate must always be closed and only open when items must be dispatched.
- Store keys must be kept by the Stores Manager only and cannot be handed to other staff.
- Store entrance gate must always be locked; only store staff may be inside the store.
- Arrange for items that cannot be delivered to be collected. This arrangement must be made between Stores Manager, procurement and office manager.
- Special instructions are done via ClickUp system. Update ClickUp as required.
- Keep the store clean at all times.
- Cleaner is managed by Stores Manager, and his duties must be managed accordingly.
- Perform monthly stock take on the entire store. Allocate one working day for the stock take. During stock take the stock/material movement must stop.
- Perform van stock monthly before the main store stock take. Van stock is done before working hours to ensure van stock is complete before working hours.
- Manage stock items on an ongoing basis. Each item must be marked according to its stock ID number and placed in the correct bin.
- Keep the store in an orderly state at all times.
- Receive material returns from site or technicians, place them in the return bay first. Sort all materials into three groups: scrap, return to suppliers, put into stock. Management must be contacted where a final disunion will be made.
- Do not place any material or items into the scrap cage without contacting management.
- Arrange skip collections as required.
- Manage the tool store.
- Test all tools returned or handed out before returning or handing out.
- Track all tools in/out with the scanning system.
- Conduct tool audit according to the tool management system.
- Introduce new tools into the system where all data must be filled in.
