Job Overview
Tracker is seeking services of a Specialist : Travel Desk to support various departments across the organization. To coordinate, manage, and optimise all organisational travel requirements in a professional, cost-effective, and policy-aligned manner. The role is quired to ensure seamless end-to-end travel arrangement, strengthen supplier relationship, and to deliver accurate travel data that supports operational efficiency, financial prudence, compliance, and employee experience.
Responsibilities
- Coordinate and confirm all travel bookings, including flights, accommodation, car hire, and transfers.
- Maintain an updated travel calendar across business units.
- Prepare accurate documentation for each booking (itineraries, confirmations, travel packs).
- Provide pre-travel briefings and updates.
- Manage all booking amendments, cancellations, and urgent travel requests.
- Implement and enforce the organisation's Travel Policy.
- Verify that all travel requests align with approved classes, limits, and processes.
- Maintain documentation for travel risk assessments where required.
- Ensure compliance with visa, passport, and health requirements.
- Coordinate emergency support procedures for travellers.
- Maintain relationships with travel agencies, airlines, hotels, and car rental partners.
- Ensure SLA agreements are up to date and monitored.
- Conduct quarterly supplier performance reviews.
- Negotiate fares, upgrades, preferred rates, and travel discounts.
- Resolve supplier-related service issues promptly.
- Track all travel expenditure and reconcile against budget.
- Provide monthly cost analysis and identify saving opportunities.
- Flag variances and propose corrective measures.
- Ensure booking decisions prioritise cost-efficiency without compromising traveller safety.
- Lead cost-saving initiatives (e.g., preferred suppliers, travel bundling, strategic routing).
- Provide professional, personalised support to all travellers.
- Resolve travel issues quickly (missed flights, delays, booking errors).
- Engage regularly with frequent travellers and executives to understand needs.
- Communicate travel updates, disruptions, and changes promptly.
- Gather feedback and drive continuous service improvements.
Qualifications
- Essential: Diploma or Certificate in Travel & Tourism, Business Administration, or related field.
- Desirable: Bachelor's degree in Tourism Management, Business, Supply Chain, or similar.
- Essential: 5 years' experience in corporate travel coordination, travel desk operations, or a travel agency environment.
- Essential: Experience managing high-volume regional and international travel.
- Essential: Proven experience negotiating with travel suppliers and managing SLAs.
