Role Overview
We are seeking a reliable, detail-oriented Personal Assistant to support a highly accomplished medical professional and their family with day-to-day administrative, scheduling, and coordination tasks.
This role is primarily personal and administrative in nature (PA vs. EA), focused on reducing mental load, improving organization, and ensuring important tasks, renewals, and communications are handled smoothly. The ideal candidate is proactive, organized, and comfortable working asynchronously with minimal supervision.
Key Responsibilities
- 1. Scheduling & Calendar Management
- Coordinate and schedule appointments, including:
- Medical, dental, and personal appointments
- Home and car maintenance services
- Manage and confirm meetings
- Track deadlines and important dates
- Ensure confirmations and follow-ups are completed
- 2. Travel & Conference Support
- Arrange travel for professional conferences, including:
- Flights
- Hotels
- Conference registrations
- Organize itineraries and confirmations
- Assist with post-travel expense organization and reimbursement preparation
- 3. Administrative & Membership Management
- Manage renewals for:
- Professional memberships
- Medical licenses
- Organizational affiliations
- Handle payment processing and confirmation tracking
- Maintain records and confirmation emails
- Prepare and organize documents using Google Docs and Google Sheets
- 4. Expense & Document Handling
- Organize receipts from travel and events
- Redact and prepare expense documentation for submission
- Maintain clear records and digital files
- Use PDF tools (Adobe Pro experience is a plus but not required)
- 5. Ordering & Personal Errands
- Place orders for:
- Office supplies
- Print materials
- Gifts (flowers, birthday gifts, holiday gifts for colleagues, friends, and family)
- Track deliveries and confirmations
- Assist with routine purchasing tasks as needed
- 6. Light Outreach & Communication Support (Periodic)
- Assist with drafting and sending email communications related to:
- Professional networking
- Periodic outreach to referring providers
- Holiday or year-end messages
- Support light social media posting if requested (no phone calls required)
- All outreach is conducted via email or online platforms
Tools & Systems
- Google Docs & Google Sheets (required)
- Email (Gmail or equivalent)
- PDF tools (Adobe Pro is a nice-to-have)
- Online booking and ordering platforms
Ideal Candidate Profile
- Prior experience as a Personal Assistant, Virtual Assistant, or Administrative Assistant
- Strong organizational and follow-through skills
- Comfortable managing multiple small tasks and deadlines
- Excellent written communication skills
- Discreet, professional, and trustworthy
- Able to work independently and asynchronously
- Comfortable supporting both professional and personal tasks
$250 - $350 a month
Part-time to start (10 hours/week)
Potential to increase to 20 hours/week over time
Flexible schedule with asynchronous work
Time zone alignment preferred with U.S. Eastern Time (or within a few hours)
