Role Description

We are a fast-growing, customer-focused home services business based in the United States. We’re looking for a highly organized, professional, and detail-oriented Customer Operations & Scheduling Coordinator to join our remote team.

This role is customer-facing and operationally critical. You’ll be communicating directly with customers via phone and text, managing scheduling and data entry, and helping ensure installs run smoothly. You’ll also play a key role in improving processes and supporting business growth.

We are hiring one person now, with plans to add a second team member in July as our busy season ramps up.

Important - I’m looking for someone that can work 5pm SAST - 2am SAST

Key Responsibilities
  • Communicate professionally with customers via phone calls and text messages
  • Schedule installations and coordinate appointment calendars
  • Perform accurate data entry and maintain customer records
  • Confirm appointments, follow up with customers, and manage reschedules
  • Problem-solve customer issues with a calm, solutions-oriented mindset
  • Support internal operations to ensure smooth execution during peak season
  • Identify inefficiencies and suggest improvements to processes and workflows
What We’re Looking For
  • Fluent English speaker with excellent written and verbal communication
  • Strong customer service or client-facing experience (required)
  • Highly organized, reliable, and detail-oriented
  • Comfortable speaking with customers on the phone
  • Tech-savvy and confident working in online systems (CRM, scheduling tools, spreadsheets)
  • Proactive problem solver who enjoys helping a business grow
  • Able to work full-time and handle increased workload during busy season (July–December)
Qualifications
  • Proficiency in Administrative Assistance and Clerical Skills
  • Strong Phone Etiquette and effective Communication abilities
  • Experience in Executive Administrative Assistance
  • Excellent organizational and time management skills
  • Ability to maintain discretion and confidentiality in handling sensitive materials
  • Proficiency with office software programs such as Microsoft Office and calendar management tools
  • High school diploma or equivalent; an associate degree or higher is a plus
Preferred (Nice to Have)
  • Experience working with US-based customers or companies
  • Background in operations, administration, or scheduling roles
  • Experience in home services, logistics, or appointment-based businesses
