About The Role

The Finance Associate plays a key role in supporting financial operations across South Africa, with accountability for vendor management, subcontractor processes, billing activities, reconciliations, debt collection, BEE/EE compliance support, and financial administration. Reporting to the Finance Manager SA, this role ensures efficiency, accuracy and compliance across all finance processes while partnering closely with internal and external stakeholders.

What You’ll Do

Vendor Invoices

  • Setting up new vendors and loading invoices into Chrome River with accurate coding, including cost splits across segments
  • Ensuring urgent invoices are approved ahead of payment cut-off
  • Requesting and reconciling vendor statements and following up where invoices are delayed
  • Ensuring year-end invoices are submitted within required timelines and raising accruals where needed
  • Supporting Accounts Payable with invoice-related queries
  • Updating the approval matrix to reflect structural changes
  • Overseeing FNB corporate card, travel, and vendor service delivery matters

Subcontractor Management

  • Loading new subcontractors and ensuring processes run efficiently
  • Managing amendments, extensions, and terminations
  • Coordinating with the Office Manager on the return of laptops and other equipment
  • Reviewing monthly financial results to ensure subcontractors are processed correctly and working with the Dubai finance team on corrections and accruals

Banking

  • Acting as the main bank contact for confirmation letters and client queries
  • Supporting the cash and banking team by resolving payment and incoming funds queries

Corporate Cards (FNB)

  • Assisting with the issuing and removal of corporate cards and handling staff queries
  • Supporting the reconciliation of corporate cards, ensuring policy compliance and cost recovery from clients

Insurances

  • Conducting annual insurance cover reviews and managing adjustments with brokers
  • Ensuring insurance premiums are paid on time
  • Assisting with the processing of insurance claims

Fixed Asset Register

  • Working with Procurement, Finance, and IT to maintain accurate and up-to-date asset records
  • Managing policies for the buy-back of laptops and mobile phones with appropriate accounting controls

Billing

  • Running WIP reports and collaborating with project teams on disbursements
  • Coordinating WIP corrections, rate updates, and billing clarifications
  • Monitoring WIP ageing, CAP limits, and provisions
  • Distributing WIP reports ahead of monthly Dubai meetings, taking meeting notes, and tracking actions
  • Supporting debtor statement collection

Debt Collection

  • Tracking and following up on outstanding debtors
  • Liaising with clients regarding invoice queries
  • Providing regular updates to segment leads and the Finance Manager
  • Coordinating with Legal on letters of demand and escalated cases

BEE & Employment Equity Support

  • Submitting required financial information to BEE and Employment Equity consultants
  • Supporting audit preparation and responding to auditor queries
  • Assisting with BEE Trust financials and compliance requirements
  • Gathering and organising Skills Development data
  • Taking minutes during Employment Equity meetings and preparing summaries
  • Supporting the issuance of Trust documentation

Ad Hoc Responsibilities

  • Providing financial information for RFPs, tenders, and Stats SA submissions
  • Supporting audit requirements as needed
  • Assisting the South Africa finance leader with reporting requirements
  • Supporting the team with policy updates when required

Basic Qualifications

  • Accounting/Finance qualification, or equivalent
  • Knowledge of Unit4, Elite Enterprise or other billing/accounting systems
  • Strong billing background
  • Proficient in MS Word and Excel
