The Role

The Executive Assistant to the Office of the CEO provides high-level administrative and organizational support to ensure the smooth and efficient operation of executive functions. This role requires exceptional judgment, discretion, and professionalism while managing competing priorities and maintaining a visible, polished presence within the Office of the CEO. The Executive Assistant serves as a key point of contact for internal and external stakeholders, facilitating communication, coordination, and execution of priorities across the organization. This is an in-person position based in the corporate office, Monday through Friday, typically 7:00 a.m.–4:00 p.m. or 8:00 a.m.–5:00 p.m., with some variability as needed.

What you will accomplish
Executive Support and Coordination
  • Collaborate with executive leadership and support staff to maintain seamless communication, scheduling, and workflow coordination within the Office of the CEO.
  • Serve as the first point of contact for all in-person inquiries and day-to-day office interactions at the CEO’s office —triaging requests, gathering information escalating urgent matters, and ensuring appropriate follow‑up on all non‑urgent items.
  • Maintain situational awareness of who is visiting the office, the purpose of their visit, and coordinate responses or next steps accordingly.
  • Manage special projects, priorities, and follow‑up actions to ensure consistent visibility and accountability across the executive office.
Business Development and Financial Support
  • Provide administrative support to Leadership team in Marketing and Business Development, including assistance with business development‑related activities, invoicing, and expense processing.
  • Track deliverables, follow up on outstanding items, and ensure timely completion of BD‑related tasks.
Project-Based and Cross-Functional Support
  • Support Chief Strategy Officer on project‑based initiatives, assisting with logistics, documentation, and execution as needed.
  • Oversee internal projects within the Office of the CEO, maintaining ownership of timelines, progress tracking, and communication.
  • Provide general office support including food orders, catering coordination, and logistics for large meetings and events.
