Location: Orchard & Tanjong Pagar (may be required to travel between branches as needed)

Job Summary:

We are expanding our team and are seeking a reliable and proactive Administrative Assistant to support the daily operations of our private physiotherapy clinic. The role involves reception duties, patient scheduling, billing and invoicing, end-of-day reporting, record management, general office administration, and light housekeeping, ensuring smooth operations and a clean, welcoming environment for patients. The ideal candidate is able to work independently as well as part of a team.

Key Responsibilities:
  • Perform reception duties including patient check-ins, appointment scheduling, phone/WhatsApp enquiries, and front-desk support.
  • Handle billing, payment processing, and invoicing accurately and efficiently.
  • Prepare and submit end-of-day reports on appointments, payments, and clinic operations.
  • Maintain accurate patient records and clinic documentation.
  • Assist physiotherapists with administrative tasks as needed.
  • Manage office supplies and inventory.
  • Ensure clinic areas are organized, clean, and presentable, including general housekeeping tasks (tidying treatment rooms, reception area, and common areas).
  • Support clinic operations across branches when required.
Requirements:
  • Experience in administrative or healthcare settings is a bonus but not required (Training is provided)
  • Experience in billing, invoicing, payment handling, and reporting is required.
  • Proficient in Microsoft Office, WhatsApp, and basic computer applications.
  • Proficiency in any CRM (e.g., Cliniko) is a bonus.
  • Strong organizational and communication skills.
  • Professional, friendly, and patient-focused demeanor.
  • Able to work independently as well as part of a team.
  • Willingness to travel between Orchard & Tanjong Pagar branches as needed.
  • Able to perform light housekeeping tasks as part of daily duties.
Working Hours:
  • Morning Shift: 8:00AM – 4:00PM
  • Mid Shift: 10:00AM – 6:00PM
  • Full Shift (on some days): 8:00AM – 6:00PM
  • Alternate Saturdays: 9:00AM – 1:00PM
  • Alternate Saturdays off; Sundays and Public Holidays off
Salary & Benefits:
  • Base Pay: $2,200 – $2,500/month
