An opportunity is now available for a career-minded individual to join us in MSC South East Asia (Singapore) Pte Ltd, as Executive, Human Resources & Administration.
DESIGNATION : EXECUTIVE, HUMAN RESOURCES & ADMINISTRATION (6 Month Contract)
RESPONSIBILITIES

As Executive, Human Resources & Administration you will join a dynamic team responsible for executing administration activities, ensuring the seamless operation of daily business requirements within the organisation.
Key Responsibilities
You will be responsible for the day-to-day Human Resources & Administration operational activities, your key responsibilities include:
Human Resources
- Maintain HR related and employee related data in HRIS and Payroll System to ensure high data integrity in systems;
- Maintain accurate employee's hardcopy and electronic personnel files to ensure data integrity in HRIS system by hiring and terminating employees and updating job changes when necessary;
- Prepare HR statistics and employee data reports, providing analysis on variances and updates for reporting and consolidation of data to Senior Management;
- Responsible for local end-to-end recruitment, from placement of job advertisement, to interviewing and final shortlisting process with hiring manager, primarily for Senior Executive level positions and below;
- Provide onboarding training and guidance to local end users on usage of Global and Local HRIS system such as Employee Self Service and/or Manager Self Service modules;
- Provide HR administrative support, including work pass applications and renewals, government claims (such as Maternity, Childcare, Paternity and NS claims), submission of quarterly labor market survey and preparing employment agreements and related letters;
- Handle and manage employees' data for insurance benefits, including inception of new hires and termination of resignees with appointed insurance broker;
- Handles the full training administration, including scheduling of courses, facilitation of traning courses and examinations, maintaining of training records in local HRIS System and submission for Skillsfuture training grants;
- Collates training evaluations and assists in the preparation of training reports and statistics;
- Support in Talent Management initiatives as required, including internship programs;
- Support Employee Engagement activities such as execution of communication plans, social & recreation activities, as well as corporate social responsibilities programs;
- Undertake and perform any HR Projects as and when assigned.
Administration
- Coordinate business travel related arrangements, including:
- Coordinates with employees and travel agencies on flight bookings to overseas;
- Coordinates with other MSC's offices on employees' hotel's bookings in Singapore;
- Maintain all travel bookings in updating weekly leave records;
- Serve as a backup as Receptionist to perform front desk duties including attending to incoming calls, receiving walk-in customers and vendors, tracking and distributing daily incoming and outgoing mails and courier services and maintaining daily courier log;
- Undertake and perform any administrative duties as and when assigned.
QUALIFICATIONS
Who We Are Looking For
- Minimum Diploma in Business Administration or any other related discipline;
- At least 2 years of working experience in the related field;
- Knowledgeable in common HR practices and Employment Act;
- Proficient in Microsoft Word, Excel, Outlook;
- Good communication in English, both written and verbal;
- Good teamwork;
- Ability to multi-task;
- Organised and able to meet deadlines;
- Process oriented;
- Attention to detail.
