Assistant Manager, Project Grants & Coordination

Employment Type: Full-Time (Contractual)

Location: Singapore

Job Purpose

The incumbent will be responsible for driving the effective execution of a complex, multi-layered project by overseeing budgetary alignment, grant deliverables, and coordination systems—ensuring timely implementation, compliance with donor expectations, and smooth collaboration across technical, administrative, and field teams.

RESPONSIBILITIES
  • Support the development and implementation of internal coordination systems that keep project activities aligned with timelines, budget ceilings, and donor deliverables.
  • Maintain oversight of project-level trackers including procurement, disbursements, HR movements, and operational progress, ensuring accuracy and actionability.
  • Review and support grant documentation including budget narratives, donor reports, and work plans, in close coordination with senior project leadership.
  • Coordinate across internal functions (e.g., Finance, Procurement, HR, Admin) to preempt bottlenecks and facilitate responsive project execution.
  • Support the preparation of documentation for audits, donor reviews, and internal verifications by ensuring systematic recordkeeping and SOP adherence.
  • Liaise with field implementation teams to troubleshoot coordination gaps and ensure ground realities are reflected in planning, forecasting, and reporting.
  • Facilitate timely preparation of donor-facing documents, including periodic updates, forecasting revisions, and evidence-backed justifications.
  • Participate in internal planning meetings and represent the coordination and grants function in cross-functional discussions.
Required Qualifications
  • Master’s in Business Administration, Project Management, Operations Management, Supply Chain Management, Finance, or a closely related discipline—with demonstrated application in public health program settings. Alternatively, a Bachelor’s plus exceptional working experience may be considered.
Required Experience
  • Minimum 3–5 years of progressive experience in project coordination, budget oversight, or grants management within a development, research, or public-sector organization.
  • Demonstrated experience working on a donor-funded project with responsibility for documentation, reporting, and implementation tracking.
  • Familiarity with budgeting processes, narrative reporting, and donor communications is essential.
Required Skills
  • Strong coordination and multitasking skills under tight deadlines.
  • Clear, precise writing and documentation for donor and internal audiences.
  • Working knowledge of budget tracking and reporting formats.
  • Ability to synthesize information from field teams into structured outputs.
  • Proactive, detail-oriented, and solution-focused.
  • Strong communication across functions and levels.
  • Comfort with spreadsheets, trackers, and digital documentation systems.
  • High ownership mindset with the ability to operate independently.
  • Willingness to travel occasionally to field sites as required.
