Admin
- To provide administrative support HR & Admin & Finance to ensure that the department is maintained in an effective, updated and accurate manner; but not limit to organizing filing system for important and confidential company documents and answer enquires
- Answer, screen (filter) and transfer inbound phone calls
- Attend to guests and managing bookings of meeting rooms
- Open and distribute letter box, read and reply e-mails, record incoming and outgoing mails daily
- Purchasing and managing office supplies stock (stationery,pantry supplies,PPE, uniforms, ART kits, facemask, etc)
- Issuance of PR/PO and receiving of orders
- Assist to call IT vendor to troubleshoot when IT personnel is away/busy
- Recording of in/out of IT equipments & documentation
- Prepare document submission for site clearance
- Retrieving letters and information from onemotoring.com portal and disseminate them to relevant personnel
- Maintain & upkeep register/log for driver movement, vehicle, insurance, facilities maintenance
Assist in the coordination for any events activity
Human Resource
- Participate in workers recruitment co-ordination, including pass application, issuance, renewal, repatriation, transfer
- Initiate arrangements for medical checkups and purchase of security bonds as needed
- Source for training courses and enrollment as approved
- Monitoring of important dates i.e WP, SOC, Coretrade, Passport Validity
- Manage workers’ dormitories issues, i.e check-in/out, sourcing for new dorm, etc
- Record workers’ leave records and investigate questionable attendance
- Manage workers’ PIPO and payroll preparation
- Keeping all the above data up-to-date
Handle other ad-hoc duties that are assigned
Requirements
- Preferably Diploma in administration / HR or equivalent.
- Min. 2-year experience in construction sector
- Strong team player and receptive to change
- Solid knowledge of office procedures will be an advantage
- IT savvy
- Positive “can-do” attitude
- Proficient with office management software like MS Office (MS Excel and MS Word, specifically)
- Work conscientiously and responsibly, with good execution and professionalism.
