A leading food and beverage company in Malaysia is seeking a Senior Human Resource Executive to manage HR activities related to Industrial Relations and Employee Relations. The role requires collaboration with the HR Manager for union management, grievance handling, and compliance with Malaysian Labour Laws. Candidates must have a Bachelor’s degree and 3–5 years of HR experience. Strong documentation, communication, and coordination skills are essential. This role supports a positive work environment and effective employee engagement.
This role supports the HR Manager in managing the Union Management lifecycle and day-to-day Industrial Relations (IR) and Employee Relations (ER) matters. The incumbent will assist in union engagement activities, ensure compliance with labour laws and collective agreements, and help maintain harmonious employer–employee relations.
Assist the HR Manager in managing the union management lifecycle, including union recognition processes, engagement, consultation, and communication with employee representatives.
Support preparations for collective bargaining, collective agreement renewals, and union meetings, including documentation and coordination.
Assist in administering and monitoring compliance with collective agreements, labour laws, and company policies.
Prepare IR-related documents and provide support during discussions, conciliation meetings, or hearings with external authorities such as the Industrial Relations Department, Labour Department, and Trade Unions.
Support management in handling union-related matters by gathering information, preparing reports, and coordinating follow-up actions.
Assist in managing disciplinary actions, grievances, and domestic inquiry processes in a fair, timely, and compliant manner.
Support investigations, case documentation, and preparation of show cause letters and inquiry papers.
Provide guidance to supervisors and managers on employee issues in accordance with company policies and procedures.
Conduct spot checks, employee feedback sessions, and workplace observations to identify potential IR/ER issues early.
Maintain accurate and up-to-date records of union matters, disciplinary actions, grievances, and IR/ER cases.
Assist in preparing IR/ER reports, trend analysis, and summaries for management review.
Monitor updates to employment laws and IR practices and elevate relevant changes to the HR Manager.
Support the HR Manager in advising line managers on IR/ER matters and policy interpretation.
Assist in employee engagement initiatives to promote positive workplace relations.
Coordinate communication between management and employee representatives when required.
Contribute to team efforts by accomplishing related HR/IR tasks as assigned.
Perform any other duties assigned by Management from time to time.
Responsible for Food Safety matters by reporting any non-conformance or food safety issues to the Food Safety Team Leader.
Bachelor’s Degree in Human Resource Management, Industrial Relations, or related discipline.
Minimum 3–5 years of experience in HR with exposure to Industrial Relations and Union-related matters.
Working knowledge of Malaysian Labour Laws and basic industrial relations procedures.
Familiarity with disciplinary processes, grievance handling, and domestic inquiry support.
Exposure to union matters and collective agreements is an added advantage.
Good documentation, coordination, and communication skills.
Willingness to learn and work closely with the HR Manager on IR and union matters.
