Personal Assistance (PA) CUM Assistant Director (Mandarin Speaker)

Provide administrative assistance and support to the executive or management team to ensure efficient daily operations.

Assist in monitoring and updating the company website and social media platforms.

Assist management in handling business and operational matters.

Support in planning, executing, and monitoring key projects, including collaborating with cross-functional teams to ensure project success.

Follow up with prospects who respond to marketing activities (events, webcasts, ads, website collateral).

Arrange complex travel itineraries, including flight bookings, hotel accommodations, transportation, and tours.

Assist in preparing and reviewing legal documents, including contracts and agreements.

Handle special assignments, ad hoc tasks and duties as required by the department or management.

Manage communications, including taking meeting minutes, organizing schedules and appointments, and handling messages.

Handle correspondence such as drafting letters, managing incoming emails/calls, and posting outgoing mail.

Be consistently ready to undertake special assignments, ad hoc functions, or duties assigned by management.

Assist with photo and video recording when needed.

Coordinate with China-based customers, suppliers, and stakeholders.

Assist in preparing reports, presentations, and documents in both Mandarin and English.

Ensure all work is saved in the company server and complies with SUA ISO procedures.

Complete any other tasks assigned by the company.

Requirements:

Bachelor’s Degree in Business Administration or related field.

Proficient in computer applications including Canva, Microsoft Office (Word, Excel, Outlook, PowerPoint), Google Meet, Zoom, Microsoft Teams, etc.

Minimum 3 years of working experience, preferably in the interior design industry.

Fluent in written and spoken Mandarin and English (added advantage).

Strong interpersonal and written communication skills.

Excellent analytical and problem-solving abilities.

Able to work under pressure and independently with minimal supervision.

Strong team player with experience working across departments.

Pleasant personality with good integrity and a strong sense of responsibility.

Valid driving licence and willingness to drive when required.
