A dynamic HR consulting firm in Malaysia is seeking a proactive HR & Admin Executive to support day-to-day HR and administrative operations across Malaysia and Singapore. The successful candidate will be responsible for handling the employee lifecycle, including recruitment, onboarding, and payroll administration. A Diploma or Bachelor’s degree in Human Resources or Business Administration is required, along with 1-3 years of relevant experience. This role demands strong communication skills, organizational abilities, and a positive attitude in a fast-paced environment.

About the role

We are looking for a proactive HR & Admin Executive to support day-to-day HR and administrative operations for Malaysia and Singapore to ensure smooth internal processes and a positive employee experience.

What you’ll be doing
  • Support the employee lifecycle including recruitment coordination, onboarding/offboarding, and HR documentation.
  • Coordinate interview scheduling, candidate communications, and hiring admin.
  • Prepare and maintain employee records, HR documentation, and other required documentation.
  • Support payroll administration by preparing monthly inputs, verifying attendance/leave/claims (where applicable), and tracking submissions.
  • Maintain leave tracking and basic benefits administration.
  • Assist with HR policy documentation and updates (with guidance from management).
  • Provide day-to-day HR and admin support to employees (letters, confirmations, general HR queries).
  • Support office administration including procurement, facilities coordination, and general office management.
  • Coordinate vendors and office supplies; maintain simple inventory tracking.
  • Support compliance documentation and elevate any sensitive employee matters to management.
  • Identify process improvement opportunities and help implement solutions.
What we’re looking for
  • 1-3 years of experience in HR operations / HR admin / office administration (combined role preferred).
  • Diploma or Bachelor’s degree in Human Resources, Business Administration, or related field.
  • Basic working knowledge of Malaysian employment practices; exposure to Singapore HR processes is a plus.
  • Good communication skills and able to work with employees at different levels.
  • Organized, detail oriented, and comfortable with spreadsheets and documentation.
  • Able to manage multiple tasks, follow up consistently, and handle confidential information professionally.
  • Positive attitude, adaptable, and willing to learn.
