Compliance specialist (Material Declarations)

As a Compliance Specialist at Fastenal, you will play a vital role in bridging our Quality, Supply Chain, Product & Supplier Development, Customers, Sales, and Compliance Teams. Your primary responsibility will be managing Certificate of Conformance (CoC) and Full Material Declaration (FMD) requirements to ensure compliance with regulatory, industry, and customer standards globally.

This role is not limited to serving corporate needs—it also supports Fastenal’s global operations, ensuring consistent compliance solutions across our worldwide network. You will provide first-level support to Supply Chain and Operations teams to maintain compliance of goods on hand while developing solutions for key customers with similar demands.

Areas of focus include:
  • Full Material Declarations (FMDs) – Creation, review, and maintenance for compliance reporting.
  • International Material Data System (IMDS) and CDX – Automotive industry compliance platforms.
  • SCIP Database – EU waste framework directive for substances of concern.
  • Global Regulation – REACH, RoHS, TSCA, POP and any related regulation.
Key Responsibilities
  • Collaborate with Regulatory Research Compliance Specialists to implement strategies for new or upcoming regulations impacting FMDs.
  • Prepare and upload FMDs using Fastenal templates across product lines, and create Certificates of Conformance (CoCs) in response to customer requests.
  • Review, approve, and upload FMDs for automotive customers within IMDS and CDX platforms.
  • Maintain FMDs and CoCs on recognized third-party platforms to meet customer requirements.
  • Conduct supplier outreach to obtain compliance documentation.
  • Assist branches in reviewing regulatory documents from suppliers for customer requests.
  • Monitor regulatory trends and customer expectations to ensure proactive compliance management for REACH, RoHS, TSCA, POP, and related regulations.
  • Respond to daily compliance inquiries via ServiceNow Ticket, Ask Blue, email, and phone.
  • Utilize tools such as PeopleSoft, SmartSheet, SharePoint, ServiceNow, and internal communication platforms.
  • Enforce company policies related to supply chain compliance.
Required Qualifications
  • Diploma or Bachelor’s Degree in Materials Science, Environmental Science, Chemical Engineering, Chemistry, or a related technical discipline.
  • Willingness to work on a rotating two-shift schedule, (Morning-8AM to 5PM) and (Night shifts-3PM to 12AM).
  • Knowledge of global product compliance regulations (e.g., REACH, RoHS, TSCA) and experience with platforms such as IMDS, CDX, BOMCHECK is preferred.
  • Excellent written and verbal communication skills, with strong proficiency in English.
  • Valid driver’s license and ability to meet company driving requirements.
  • Strong math aptitude, attention to detail, and sense of urgency.
  • Ability to multitask in a fast-paced environment and work independently or collaboratively.
  • Proficiency with Microsoft Word, Excel, and PDF document handling.
  • Highly motivated, self-directed, and customer service oriented.
  • Strong organizational, planning, and prioritization skills.
  • Problem-solving, deductive reasoning, and decision-making abilities.
