We are seeking a detail-oriented and proactive Estimator & Project Coordinator to support our construction team in both preconstruction and active project phases. This role combines estimating, vendor coordination, project support, and light administrative tasks to ensure accurate bids, efficient procurement, and smooth project execution. The ideal candidate is bilingual, organized, and capable of managing multiple responsibilities in a fast-paced environment.
Key Responsibilities
Estimating:
- Perform detailed material and labor takeoffs from blueprints, drawings, or scopes of work.
- Request, track, and organize quotes from subcontractors and vendors.
- Prepare job cost estimates and formal customer proposals.
- Assist in pricing and scope adjustments for change orders.
- Maintain and regularly update pricing databases and cost libraries.
Purchasing & Vendor Coordination:
- Order materials from approved suppliers in accordance with job timelines.
- Track material deliveries and verify quantities against purchase orders.
- Build and maintain strong relationships with vendors and subcontractors.
- Negotiate pricing, availability, and delivery timelines with suppliers.
- Help register the company with new vendors and complete vendor applications (e.g., equipment/tool rentals, material suppliers).
- Maintain company certifications and registrations, including OSHA and other regulatory credentials.
Project Coordination:
- Help schedule subcontractors and ensure site access is arranged.
- Track project milestones and support progress reporting.
- Follow up with subcontractors and suppliers to ensure schedule adherence.
- Keep all project documentation and job folders organized using Internal Platform.
- Conduct market and industry research to identify trends, competitors, and potential partners.
- Support business development by researching potential clients, monitoring bid platforms, and organizing documentation for new project opportunities.
- Maintain CRM data entry: track prospect and client interactions, log communications, and update company information.
- Provide general administrative support such as scheduling meetings, managing emails, preparing reports, and organizing digital files.
Qualifications
- Experience in construction estimating and/or project coordination.
- Strong understanding of construction materials, labor, and project workflows.
- Excellent organizational and time management skills.
- Familiarity with project management tools (JobTread, Procore, etc.).
- Strong communication skills and confidence in client/vendor interaction.
- Fully bilingual in English and Spanish.
- High attention to detail and strong analytical mindset.
