Headquartered in London, with offices in Edinburgh and Milan, our team specialises in all stages of renewable energy project development, from site selection to grid connection, project management and planning.

About the role

We are looking for a proactive and detail-oriented Office Manager to ensure the smooth day-to-day running of our small but busy Milan office. This is a hands-on, multifaceted role supporting both local and cross-office operational needs. As the key administrative figure in Milan, you will work closely with colleagues across our UK and US offices, to ensure consistent processes and a well-coordinated, high-functioning workplace.

This role is ideal for someone who thrives in a collaborative environment, values autonomy, and is energised by building and maintaining strong relationships across locations.

Role responsibilities

  • Manage all aspects of office administration, including supplies, equipment and general workplace organisation
  • Oversee front-of-house duties such as greeting visitors and handling calls professionally
  • Coordinate appointments, meetings, and team events across internal and external stakeholders
  • Support basic bookkeeping and finance tasks, including invoice tracking and expense management
  • Assist in HR-related tasks, such as onboarding logistics, maintaining staff records, and coordinating training
  • Provide administrative support for local recruitment processes, including scheduling interviews, communicating with candidates, preparing onboarding documentation, and working with the central People team
  • Produce correspondence, reports, and documentation as needed by the leadership team
  • Uphold office policies and ensure compliance with health and safety protocols
  • Maintain accurate records of office expenses and supplies
  • Champion GDPR and data privacy best practices within the office
  • Collaborate regularly with the administrative team in London to align on systems, reporting and internal workflows
  • Provide occasional support for internal and external events, conferences, and meetings

Skills

  • Excellent organisational and multitasking abilities
  • High attention to detail with strong written and verbal communication skills
  • Strong interpersonal skills with a customer experience mindset
  • Comfortable working autonomously in a small team, while engaging closely with colleagues in other offices
  • Fluent in Italian and proficient in English

Experience/knowledge

  • Experience in an Office Manager or similar administrative role
  • Previous exposure to fast-paced environments, ideally in the renewable energy or technology sector
  • Experience supporting recruitment or HR processes, particularly interview coordination or candidate engagement, is a plus
  • Comfortable interacting with senior executives and cross-functional teams
  • Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
  • Bachelor’s degree is appreciated but not required
