Happy Trails! Asia is an eco-tourism and passionate Destination Management Company (DMC). We operate tours to Indonesia, Bali, Malaysia, Borneo, Singapore & Brunei. And we have offices in Bali, Java, Sumatra, Kuala Lumpur, and Borneo.

We are looking for a dynamic and resourceful RESERVATION & OPERATION (FIT) OFFICER to join our growing and expanding company.

Profile

Minimum of 1 year of experience in Inbound Tour Operator or related fields. Fresh graduates are welcome to apply.

Good command of English both written and spoken.

Knowledge of reservation and operational principles.

Familiarity with domestic travel destinations.

Tech savvy with high understanding of computer programs (such as Ms Office, Excel)

Ability to prioritize, and work effectively in a fast-paced environment.

A positive attitude, self-motivated and result-driven, able to work alone or as part of a team.

Strong problem-solving abilities, good communication and customer service skills.

Highly organized, detail-oriented, with the ability to prioritize tasks.

Based in Bali.

What you’ll be doing

As a Reservation & Operations FIT Officer, you will play a crucial role in ensuring seamless reservations and operations for FIT (Free Independent Traveler) bookings. Your responsibilities will include managing bookings, coordinating with suppliers, and supporting operations to deliver exceptional service. Key tasks include, but not limited to:

  • Ensure all FIT reservations are accurately entered and updated in the internal reservation system.
  • Coordinate with suppliers for timely confirmations, availability, and special requests.
  • Monitor and follow up on pending bookings to avoid delays or disruptions.
  • Respond promptly to customer inquiries or complaints to maintain high service standards.
  • Maintain positive and effective communication with the FIT team, customers, and suppliers to foster trust and smooth operations.
  • Organize and prioritize incoming emails to ensure timely responses and action.
  • Maintain a clear filing system for emails related to bookings, suppliers, and internal communications.
  • Coordinate the scheduling of cars and drivers for client transfers or tours.
  • Assist with specific tasks or projects as assigned by the HOD, ensuring deadlines and quality standards are met.
  • Identify areas for improvement in reservation and operations processes and propose solutions to enhance efficiency.
  • Maintain good relations and effective communications with tour operators, customers, and suppliers.
