Overview

We are seeking to appoint a Compliance, Student Records & Engagement Assistant who will work as a member of the Student Administration team to provide effective support to the Monitoring Team who are responsible for the monitoring of attendance and engagement of all students in the University, ensuring that Home Office and BU Regulations are adhered to. You will have excellent IT skills, communication skills, organizational skills with the ability to meet deadlines, whilst working to a high degree of accuracy and attention to detail. Candidates should be educated to GCSE level or NVQ level III in an appropriate subject e.g Customer Service or Business Administration and/or possess equivalent experience. The ability to communicate in Welsh is desirable for this post. Applications will also be considered to carry out this role on a part-time or job share basis. Purpose of the Job

To work as part of the smaller Team, within the Student Administration Team, who are responsible for the monitoring of attendance and engagement for all students. To work with the Team in the embedding of new workflows and working practices within the area of attendance and engagement and ensure that all working practices are consistent across UK and International students. To assist with data quality checks with regards to student administration functions.

Main Duties and Responsibilities
  • Work closely with the Team to ensure the provision of a flexible and responsive engagement and attendance monitoring system for all students.
  • Contribute to the development of Key Performance Indicators or service standards for the team and assist with the monitoring and reporting of such.
  • Assist with the development effective collaborative work relationships within Student Services and across the University in order to develop best practice in meeting the needs of the University and its diverse student body.
  • To assist with the development of and embedding of new workflows and working practices within the area of engagement/attendance monitoring, and the team as a whole.
  • Working with the rest of the Team to ensure that all regulatory and university policies and regulations are adhered to and that information is held in accordance with those regulations.
Specific Functional duties
  • To be a one of the primary points of contact and to provide customer focussed support, assistance and guidance as required to students and/or staff.
  • To work with the rest of the Monitoring and Compliance Team to ensure that the University’s policies and practices in relation to both BU Regulations and UKVI Regulations are complied with.
  • Take primarily responsibility for the maintenance of student files as required for UKVI audit purposes.
  • Assist with the early identification of ‘at risk’ students and provide support to the other members of the team who will identify the action taken in each case.
  • Provide support for the regular running of engagement reports, assisting with the action to be taken.
  • Assist with ID checks for students, including handling BRP cards (for which Home Office approval is required).
  • Undertake other such duties commensurate with grade and at other Bangor University locations as required by your line manager.
  • To engage with and participate in University events such as open days, exams and graduation as required. As a member of the Student Administration Team, it is expected that you will participate in events that fall under the remit of that Team which include, but are not restricted to events such as, ID checking and enrolment, graduation, examinations, etc.
Other Duties And Responsibilities
  • The post holder will be located in a hub which will be expected to deliver a bilingual provision.
  • The post holder will be expected to participate in performance review and developmental activities.
  • The post holder will be expected to comply with the University equal opportunities policies, Dignity at Work and Study Policy and the Welsh Language Policy and the Welsh Language Standards.
  • The post holder has a general and legal duty of care in relation to health, safety and wellbeing and must take all reasonable steps to ensure a safe and healthy working environment for themselves and for other members of staff, students and visitors affected by their actions or inactions. The post holder is also required to comply with all applicable health and safety policies, procedures and risk assessments.
  • The post holder must comply with relevant legal and financial policies and procedures and be aware of their responsibilities in terms of the legal requirements of their post.
Person Specification

Qualifications/Training

  • Essential: Educated to GCSE level or NVQ level III in an appropriate subject e.g Customer Service or Business Administration and/or possess equivalent experience.

Desirable

  • A high degree of computer literacy preferably experience of using databases and student records systems (e.g., Banner, MyBangor, Bangor BI, Access).
  • BTEC Professional Diplomas, Certificates and Awards at Level 5.
  • NVQ level IV.

Experience/Knowledge

  • Essential: Experience of dealing with queries and providing information to students and academic staff.
  • An understanding of, and the ability to interpret, academic regulations and procedures.
  • An understanding of the needs of culturally diverse staff and students.
  • Desirable: An understanding of legislative requirements relating to UKVI / Home Office visa requirements.
  • An understanding of legislative requirements relating to equality, data protection, UKVI and freedom of information.

Skills/Abilities

  • Essential: The ability to work as part of a small team, ensuring that the team work together to meet objectives and deadlines.
  • Knows when a decision is beyond the level of responsibility for the role, and when to refer on to others.
  • The ability to provide accurate and appropriate advice, sympathetically and confidentially.
  • The ability to deal with difficult or confidential situations (involving students) according to policy and procedures.
  • Desirable: Contributes to decision making by providing relevant information and opinions.
  • The ability to communicate through the medium of Welsh is desirable for this role. If applicants are not able to speak / write in Welsh at present, there are many opportunities to learn if the successful candidate wishes to do so.
