Overview

HAIL Partners are exciting to be exclusively representing a fast-growing, high-performing, newly established investment firm. A spin-out of a leading hedge fund, they are scaling quickly and looking for an Executive Assistant & Office Manager to join the team and grow and manage the back office function.

This position will provide top-level assistance to senior-level executives, run the office, strategically manage the business operations and be confident working totally autonomously, with a entrepreneurial mind set, in a fast paced, start up. This is a unique opportunity to help shape the internal culture and infrastructure of a high-performing investment firm in its foundational stage.

Responsibilities
  • Deliver high-level support to senior executives, including organizing schedules, booking travel arrangements, and processing reimbursements.
  • Act as the first point of contact for guests and manage external communication and coordination with stakeholders.
  • Oversee the smooth daily running of the office by coordinating with landlords, vendors, and maintenance providers.
  • Plan and execute internal functions such as team meetings, offsites, and catered events, ensuring all logistical aspects are handled seamlessly.
  • Facilitate onboarding for new team members and collaborate with IT and service partners to ensure a smooth setup process.
  • Identify areas for operational improvement and take initiative to streamline administrative workflows.

  • Well-organised, detail-oriented, ability to multi-task with great follow-up skills
