SUPERVISOR The Grants Officer reports directly to the Provost (or any other supervisor designed by the President) and maintains a dotted-line reporting relationship to the Vice President for Development and Alumni Relations, collaborating closely on fundraising strategy, donor-funded projects, and external engagement where appropriate.

Position Overview
The Grants Officer supports AUP faculty and academic staff in identifying, developing, and securing external funding from government agencies, private foundations, and international organizations. This role is responsible for monitoring funding opportunities, guiding proposal development, ensuring compliance with institutional and funderguidelines, coordinating submissions, and supporting pre- and post-award processes and reporting.
This is a unique opportunity for an experienced grants professional to contribute to the development of a nascent grants infrastructure in a highly international academic setting.
Key Responsibilities
Research Funding Opportunities
- Identify and monitor funding organizations and programs relevant to AUPs academic and strategic priorities.
- Proactively analyze and share funding opportunities with faculty, departments and research centers.
Communicate and Promote Opportunities
- Disseminate timely and targeted funding information to relevant departments and individuals.
- Maintain an internal database of AUP-relevant funding opportunities in collaboration with the Office of Development and Alumni Relations.
- Summarize and promote funding calls across the university.
Support Proposal Development
- Advise faculty on all aspects of proposal development, including funder requirements, budget preparation, timelines, and institutional policies.
- Provide hands-on support drafting letters of inquiry and full proposals.
Act as Grant Liaison
- Serve as a liaison between grantees, internal AUP offices (Finance, Academic Affairs, IRB, Human Resources etc.), and funders, ensuring smooth communication and coordination.
Ensure Compliance
- Review proposals to ensure compliance with funder guidelines and AUP policies.
- Serve as a key resource on questions of eligibility, costs, and institutional commitments.
Coordinate Submission and Award Negotiation
- Support proposal submissions by assisting faculty with documentation and process navigation.
- Work with Finance and legal offices to prepare institutional documents and negotiate award terms.
Facilitate Post-Award Setup
- Assist with internal grant setup, reporting schedules, and sub-award agreements.
- Support a smooth transition from pre-award to post-award project implementation and reporting.
Build Internal Capacity
- Design and implement standardized grant resources including templates, toolkits, reporting and training resources.
- Conduct grant-writing workshops and offer individual consultations.
Maintain Records and Reporting
- Track all grant proposals and outcomes.
- Maintain an internal archive of submissions and reporting requirements.
- Prepare periodic reports for AUP leadership and share grant success stories with the community.
Fundraising and Donor Engagement
- Cultivate and steward relationships with institutional funders (corporations and foundations) in collaboration with the Office of Development and Alumni Relations, contributing to AUPs fundraising strategy and helping achieve mutually agreed fundraising targets.
- Plan and host campus visits with potential funders to showcase the faculty, programs and centers at AUP.
Other appropriate duties which may also be assigned by the Supervisor according to the needs of the Department.
Minimum Qualifications
- Masters degree preferred, or equivalent combination of education and experience in grants administration, nonprofit management, or higher education.
- 35 years of experience in grant development or sponsored programs, preferably in an academic or research environment.
- Strong organizational and analytical skills; ability to manage multiple priorities and deadlines.
- Excellent written and verbal communication skills; comfort working across disciplines and cultures.
- Proficiency in Microsoft Office; familiarity with online grant portals (e.g., Grants.gov, Research.gov, EU Funding and Tenders Portal, or CORDIS) and CRM systems (e.g. Raisers Edge).
- Commitment to the values of liberal arts education and international collaboration.
- Written and spoken fluency in English and French.
Preferred Qualifications
- Demonstrated success securing grants from European or other international funding bodies.
- Familiarity with funders that support U.S.-accredited institutions located outside the United States.
