Job summary

A leading financial services company in Toronto is seeking a Project Coordinator to manage financial activities. The ideal candidate will have over 5 years of experience in financial institutions, preferably with a top Canadian bank. Responsibilities include financial management, documentation, and collaboration with various teams. Strong skills in PCO, MS Project, and communication are required. This role offers an opportunity to work in a dynamic environment with diverse responsibilities.

Qualifications

  • 5+ years of PCO experience in financial institutions working on project financials.
  • 2+ years of recent experience with top 5 Canadian bank (Scotiabank preferred).
  • 2+ years of recent experience using Clarity (CA-PPM).
  • 4+ years of experience with MS Project.
  • Strong experience with MS Office Suite (proficient in Excel).

Responsibilities

  • Perform financial management activities such as budget forecasting and payment processing.
  • Update financial information for Executive Steering Committee documents.
  • Collaborate with IT management teams and operational Risk teams.
  • Develop communication models for managing reported vulnerabilities.
  • Identify opportunities for internal process improvements.
  • Ensure adherence to established processes that mitigate risk.
  • Schedule and manage deliverables to stakeholders.
  • Support the Delivery Manager to maintain project momentum.
  • Document and cost project activities using Microsoft Project.
  • Maintain the project files and related documentation.

Job description
Key Accountabilities
  • Perform financial management activities such as project budget forecasting and payment processing while following bank guidelines, for the different components of the budget including international and Canadian project teams. Create financial Project Change Requests (PCRs) to ensure the costs are allocated to the correct Component/Cost Element.
  • Update the financial information for the Executive Steering Committee documents. Administrate the SharePoint for the Collection Solutions. Interact and support the countries/regions with the financial management of the budget assigned as per the approved business case, by building and maintaining a strong partnership with them.
  • Collaborate with IT management teams, security advisory and operational Risk teams, on a global scale to ensure effective execution of mandated assessments.
  • Develop/enhance and/or execute effective communication models to assist with the management of reported vulnerabilities, control gaps, people and process related gaps, issues and their remediation.
  • Identify opportunities and gaps within internal process and procedures to develop/enhance and/or execute strategies for improvement and maturity within each program, inclusive of but not limited to, execution, operations, reporting and tracking.
  • Be responsible for adherence to established process flows that ensure development teams, infrastructure teams and business owners implement control measures that effectively mitigate or eliminate risk.
  • Be responsible for scheduling, oversight of execution, creation and management of deliverables to stakeholders.
  • Support the Delivery Manager / Project Manager to ensure all appropriate areas are represented on the project team and to maintain the momentum of the project against a background of constantly conflicting priorities. The individual is required to multitask on several projects at one time depending on the complexity and activities in progress.
  • Formally document and cost project activities by using the Microsoft Project tool. Define development activities at sufficient detail levels (not to exceed 10 workday increments and not to detail less than 4 hours). Maintain ongoing communication of project status, complete the agreed-on project reports, and escalate issues to the Delivery Manager, or Senior Delivery Manager as required.
  • Responsible for supporting the Delivery Team in the following: maintain the project files; RAID (Risk, Actions, and Issues) log, project documentation, approvals, drawdowns, spreadsheets, meeting minutes, monthly status reports, third-party contracts, and other correspondence and documentation as appropriate.
