Job Description
- Manage the Managing Director's calendar, ensuring efficient scheduling of meetings, property visits, and industry events to maximize productivity.
- Prepare detailed reports and presentations on market trends, property performance, and investment opportunities for the Managing Director's review.
- Act as a liaison between the Managing Director and internal teams, ensuring seamless communication and coordination on project updates and deliverables.
- Handle confidential information with discretion, including sensitive financial data and strategic business plans, ensuring compliance with industry regulations.
- Assist in the preparation and execution of high-stakes presentations and proposals for clients and stakeholders in the real estate sector.
- Coordinate travel arrangements, including itineraries and accommodations, to support the Managing Director during site visits and business trips.
- Oversee office management tasks, including supply inventory and vendor relationships, to create an efficient working environment for the Managing Director.
- Conduct market research and competitor analysis to provide valuable insights that inform strategic decision-making by the Managing Director.
- Support project management initiatives by tracking timelines, deliverables, and budgets to ensure alignment with the Managing Director's strategic goals.
- Doing exclusive Listings on behalf of the MD
- Assisting the MD in day to day tasks , bill payments, lunch schedulings, meetings updates, MoMs, travels etc.
- If required, maybe once a year travel to the location/country of the road-show where the team & MD will travel to.
- Handling logistics like meeting room preparation, screen connections etc. on behalf of the MD for his important client/developer meetings.
Desired Candidate Profile
- Bachelor's degree in Business Administration, Real Estate, or a related field, providing a solid foundation in industry practices.
- A minimum of 1-2 years of experience as an Executive Assistant in the real estate sector in Dubai, demonstrating a deep understanding of industry-specific demands.
- Knowledge of Bitrix, Listings, CRMs is a must.
- Proficient in real estate management software and tools, showcasing technical aptitude necessary for the role.
- Strong project management skills, with a proven ability to juggle multiple tasks and prioritize effectively in a fast-paced environment.
- Exceptional communication skills in English enabling effective interaction with diverse stakeholders.
- A proactive problem solver with a keen eye for detail, ensuring high-quality output in all responsibilities.
- Strong organizational skills and time management capabilities to optimize the Managing Director's workflow.
- Demonstrated ability to work independently and as part of a team, fostering a collaborative work environment.
- Cultural awareness and adaptability, particularly if working in a multinational context, to facilitate effective partnerships.
- Candidates with a valid UAE driving license will be given preference
