Role Overview
Stores Supervisor is responsible for overseeing the day-to-day operations of a warehouse, monitoring staff productivity and ensuring the quality of goods while preparing relevant documentation.
KEY RESPONSIBILITIES
- To execute the receiving and dispatching of stock to and from regions, technicians, depots, client sites and across borders.
- Understanding and communicating requirements to suppliers and management.
- Serving as the primary contact with suppliers and addressing quality concerns.
- Assess quality of stock received and escalating discrepancies to suppliers and management.
- Driving cost savings and achieving departmental goals.
- Working with management to address commodity management including procurement support, commodity business plans, market trends assessment, pricing, and product availability.
- Raise delivery notes against the relevant accounts.
- Return stock to suppliers for repairs.
- Ensure all stock has serial numbers.
- Prepare stock requirements timely.
- Prepare parcels correctly and in time for collection by courier company.
- Maintain effective stock control at all times.
- Complete records of stock received from suppliers and forward to Workshop Manager.
- Introduce all stock procured into the Company’s stock taking system.
- Ordering of new stock to ensure an ample supply of stock.
- Notify Management regarding low and surplus stock.
- Complete reports relating to stock taking (Damaged Goods, etc).
- Research and evaluate vendor quotes to qualify commodity suppliers.
- Executes requisitions of goods and services from suppliers.
- Monitors and reports purchase order status.
- Prepares reports on a routine and ad-hoc basis to provide information regarding purchase order activities.
- Maintains appropriate documentation for audit purposes.
- Any other reasonable adhoc duty as required or requested by management.
- It should be noted that individuals may need to expand their roles/scope to cover the work load of other employees in times of high workloads or individuals who may be absent from work. This is the sole discretion of management.
- Responsible for the 6 monthly stocktake.
- Ensuring the safety and security of the stock. This takes the form of ensuring that there are adequate security systems in place and enforcing Health and Safety rules. This also includes keeping the store clean and tidy.
- Build, maintain and manage supplier relationships and keep up good communications.
- Contact suppliers to resolve price, quality, delivery or invoice issues.
- Support the purchasing function and communicate any supply problems which may impact on business operations.
- Monitor and advise on any issues which present risk or opportunity to the organisation.
KNOWLEDGE, SKILLS & ABILITIES
- Principles of computer literacy.
- Methodical skills and ensure operating procedures for the stores are enforced on all levels.
- Well organized and focused on service delivery.
- Good communication, negotiation, interpersonal and influencing skills.
- Meticulous.
MINIMUM REQUIREMENTS
- Grade 12 / Stores related qualifications (Diploma).
- 3–5 Years’ experience in a similar position.
- Strong admin and organisational skills.
- Intermediate Microsoft Office capability.
- Previous store/material supervisory experience.
