Responsibilities

  • Process VIP payroll administration and processing.
  • Ensure all payroll transactions are processed accurately and timeously.
  • Assist in processing payrolls in South Africa and across Africa.
  • Stay current on legislation influencing payroll and reporting requirements.
  • Run payroll interface, including Leave provision and 3rd party payments.
  • Administer reimbursements to employees.
  • Balance and reconcile payroll-related payments to VIP reports.
  • Prepare timely reports for Finance and HR Departments.
  • Carry out self-audits on the master payroll schedule.
  • Prepare Bank Control Account reconciliations.
  • Resolve General Ledger queries from Finance.
  • Maintain data integrity of the payroll system.

Job description
Overview

We are seeking a meticulous and experienced Payroll Administrator to join our team. The successful candidate will be responsible for processing various payrolls on VIP for all WSP Operating Companies. This role requires a keen eye for detail and the ability to differentiate between permanent and contract or fixed-term staff.

Key Responsibilities
  • VIP payroll administration and processing
  • Manage workflow to ensure all payroll transactions are processed accurately and timeously, with procedures in place to provide strong internal controls and good governance in the payroll.
  • Assist in processing payrolls in South Africa and across Africa (Moz, DRC, Ghana) to ensure timely and accurate payment to staff and submission of legislative returns.
  • Remain current on new legislation and regulatory rulings influencing payroll and reporting requirements. Enforce adherence and advise management on required actions.
  • Run the payroll interface - General Ledger, Leave provision, and 3rd party payments.
  • Administer reimbursements to employees (e.g., Credit cards and petrol cards).
  • Balance and reconcile payroll-related payments and deductions to VIP reports prior to transmission to validate confirmed reports.
  • Prepare accurately and timely reports as required by the Finance and Human Resources Departments.
  • Carry out self-audits on the master payroll schedule.
  • Prepare Bank Control Account reconciliations.
  • Prepare reconciliation of all salary and share bank accounts.
  • Resolve General Ledger queries from Finance.
  • Update all employees’ Employment Equity and Skills Development information on the VIP system.
  • Reconciliation and submission of Employee benefits. Manage the interface between Employee benefits and respective third parties. Ensure reconciliations are done to match third-party records.
  • Maintenance and accurate capturing of Leave records, and completion of leave reconciliations. Advise the Human Resources Department of excessive sick and unpaid leave concerns.
  • Maintain data integrity and data updates of the payroll system.
  • Prepare and distribute IRP5 certificates each year.
  • Medical Aid and Pension Fund administration.
  • General admin duties including filing.

Qualifications and Experience Required
  • Advanced experience and knowledge of VIP and VIP reporting including HRM modules.
  • 3 - 5 years’ experience of being responsible for the full payroll function (management of payroll function).
  • 3 - 5 years’ experience on Sage VIP People modules.
  • Working knowledge of payroll best practices.
  • Strong knowledge of regulatory requirements.
  • Understand proper taxation of employer paid benefits.
