Job description
Overview

To participate to ensure Gautrain availability to a standard that will ensure maximum operational efficiency and maintain standards of product quality and service. This role involves managing the Work Permit process, scheduling, training, and related administrative tasks to support safe and efficient operations.

Responsibilities
  • Provide a Schedule of all works including core and non-core maintenance activities.
  • Implement and apply the Work Permit process.
  • Facilitate / assessPIC – Person-In-Charge training.
  • Perform work as assigned by SMART objectives and promote team spirit.
  • Manage work permit rules and participate in updates to the K2 / MIS training system.
  • Handle administrative tasks: setting up meetings, document control, minute taking, issuing and distributing meeting minutes, and processing timesheets.
  • Maintain and update PIC data lists, load documents to SharePoint, and manage records in SharePoint and PaperTrail.
  • Issue competent PICs with unique PIC numbers after training and manage related records.
  • Compile and manage applicable work processes and procedures for scheduling management.
  • Ensure safety file approvals are loaded on SharePoint before evaluating work permits for contractors.
  • Maintain daily/weekly track possession planning and emergency shaft schedules; manage maintenance trains safety certificates on SharePoint and the work permit system; update operators for each maintenance train on the system.
  • Issue notices on the information scroll bar in the work permit system when required.
  • Support Scheduler/Manager with Track Possession planning and weekly engineering works safety planning; review hot works permits and ensure a competent fire watch is allocated.
  • Schedule Electrostar test runs; support Isolation planning and scheduling with weekly isolation numbers.
  • Assist OCC/SCC during degraded mode to authorize and surrender permits.
  • Facilitate and assess web-based PIC training (internal and external); update PIC materials after rule book changes.
  • Develop monthly work permit reporting / statistics; participate in blacklisting of subcontractors and update the blacklist register.
  • Bi-weekly review/update of noncompliant work permits rules (late/not surrendered/abandoned).
  • Assist in controlling subcontractors and enforce penalties where applicable; issue manual work permit sheets during IT downtime as needed.
  • Conduct ongoing Work Permit and Health and Safety inspections (day and night) and perform other duties as assigned.
Qualifications & Skills
  • Educational Level: Grade 12.
  • Technical or Safety-related Diploma is an added advantage; safety management experience.
  • General technical and safety knowledge in the Railway Industry; familiarity with works/work permit scheduling software.
  • 5 years of relevant experience in planning/scheduling (railway industry preferred).
  • Driver’s licence; fluent in English.
  • Desirable traits: negotiation and decision-making ability; self-drive and enthusiasm; strong communication skills; problem solving; analytical ability; supervisory capability; ability to supervise and support management during absences; excellent organizational and detail-focused skills; team player; initiative; meticulous report writing; sense of urgency; effective multitasking.
