Remote Financial Planning Administrator (JB5806)

Location: Remote (South Africa)

Salary: R26,000 - 32,000 per month, negotiable

Working Hours: Aligned to the UK with some flexibility

Working Arrangement: Fully Remote

Employment Type: Permanent via an Employer of Record

About the Client

Our client is an independent cross-border Financial Adviser authorised in the UK, South Africa, and the US, building a distributed, remote-first advisory business. This is the first hire into the business, a high-trust, high-responsibility role.

About the Role

The successful candidate will work closely with the Founder to support a small portfolio of high-net-worth clients, managing administration, systems, and client execution across UK-regulated platforms. The role is ideal for someone who values flexibility, ownership, and long-term growth over rigid hours or a traditional office environment.

This is not a call-centre or volume-processing role. Accuracy, discretion, and judgement are critical.

Minimum Requirements

Experience

  • Administration, operations, paraplanning, or similar within a financial services environment.
  • Exposure to regulated environments, compliance processes, and detailed documentation.
  • UK financial planning experience is advantageous but not essential; full training will be provided.

Qualifications (Advantageous, not mandatory)

  • CFP designation or currently studying toward CFP.
  • Relevant qualification in Financial Planning, Finance, Accounting, or related field.
Technical & Infrastructure Requirements
  • Reliable, high-speed internet connection suitable for multiple systems and VoIP calls.
  • Secure, private home working environment (not shared or public internet).
  • Ability to run multiple applications simultaneously.
  • Willingness to comply with strict data security and confidentiality protocols.
Key Responsibilities

Core Administration & Operations

  • End-to-end administrative support for a UK-focused financial planning practice.
  • Maintenance of UK CRM systems, including accurate record‑keeping and regulatory documentation.
  • Preparation, processing, and follow‑up of client instructions and financial transactions.
  • Liaison with UK providers, custodians, and third parties via phone and email.
  • Management of client onboarding, documentation, and ongoing service requirements.

Client & Platform Support

  • Access and administration of custodial and investment platforms (with trading permissions over time).
  • Execution of fund switches, contributions, withdrawals, and portfolio‑related instructions.
  • Handling sensitive, confidential financial and personal client data with discretion and care.
  • Acting as a professional point of contact for high‑net‑worth clients when required.

Business Support & Growth

  • Working in close partnership with the Founder to proactively resolve issues, not merely process tasks.
  • Identifying process improvements and contributing to more efficient systems as the business grows.
  • Potential to develop into a Paraplanner / Technical Support role over time, depending on experience and aptitude.
  • Supporting the future onboarding and training of junior administrative staff as the business scales.
Working Style & Flexibility
  • Fully remote role, based in South Africa.
  • Flexible working hours, with deliverables measured on outcomes, not logged time.
  • Daily check‑in via Teams to align priorities and progress.
  • Some availability during UK working hours is required for calls and provider interaction.
  • Flexibility to work non‑traditional hours where needed, balanced with personal commitments.
