Residential Property Administrator

About the Role
A leading property management division is seeking a highly capable Residential Property Administrator to oversee the efficient administration of residential properties, with a particular focus on student accommodation. The successful candidate will play a key role in ensuring accurate lease management, arrears control, and tenant support, while maintaining high standards of compliance and operational efficiency.
Key Responsibilities
Application & Intake Management
- Monitor and process applications through online portals.
- Manage incoming queries via email and WhatsApp support channels.
- Obtain and verify student registration lists from universities.
- Track and update records for defunded students.
Leasing Administration
- Vet all application documents and conduct credit checks.
- Ensure all lease details are captured and updated accurately.
- Facilitate amendments to tenant details on property management systems.
- Provide regular reporting on occupancy levels and vacancies.
Billing & Statement Processing
- Generate monthly lease billings and tenant statements.
- Process debit runs and interest billings.
- Post batches on property management and financial systems.
- Monitor and reconcile payment allocations.
Arrears & Debt Management
- Track and follow up on outstanding rental payments.
- Resolve tenant queries relating to rental accounts.
- Issue letters of demand and calculate repayment arrangements.
- Draft Acknowledgements of Debt (AODs) and manage handovers of defaulting tenants.
General Administration & Reporting
- Assist with compiling monthly management reports.
- Administer account closures and deposit refunds.
- Manage entry and exit recoveries for tenants.
- Provide professional tenant support and ensure effective communication.

Minimum Requirements
- Matric certificate (essential).
- National Diploma (essential).
- 2–3 years’ experience in property management (essential).
Advantageous
- Experience in student accommodation administration.>
