What's the role?
You are an energetic, articulate, and highly organised person eager to support our Executive team's administrative needs. This role is critical to the team's ability to produce quality outputs for public and private sector clients. This role is well suited to individuals with expertise and passion for organization, communication, and operational support.
What will you be doing?
Lead the scheduling and seamless execution of online and in-person meetings, training, workshops, and stakeholder engagements. This includes venue and vendor management, catering arrangements, welcoming delegates, managing attendance, and producing accurate minutes.
Prepare, quality-check, and circulate reports, presentations, agendas, and minutes to support high-impact engagements. Ensure all outputs meet BMA and client standards.
Oversee the organisation, filing, and version control of documentation across internal and external platforms (SharePoint, Zoho). Maintain structured, accessible, and secure information systems.
Maintain and continuously update contact lists, ensuring stakeholder information is accurate and aligned with company protocols.
Support team operations through effective scheduling of internal meetings and ad hoc travel arrangements, ensuring logistical needs are met efficiently.
Assist in managing the Industrial Development team’s reporting requirements to central functions (finance, resource allocation, project tracking), ensuring compliance with BMA’s processes and standards.
Format and polish documents for internal and client use, ensuring alignment with BMA’s professional standards and branding.
Coordinate and assure the quality of tender submissions and compliance documents. Support tender screening processes and maintain accurate records of supporting documentation (CVs, project histories, case studies).
Process consultant invoices, expense claims, and internal charges in line with BMA’s standard operating procedures, ensuring accuracy and timeliness.
Ensure all team documentation, including staff CVs and project histories, remain up-to-date and ready for strategic use in tenders and reporting.
Provide a full range of secretarial and administrative services to the Industrial Development team, anticipating needs and ensuring the team can focus on strategic delivery.
